To serve as the Program Admissions Technician in the Jim and Judy Watson Office of Student Services in the College of Education for the basic credential programs.
Major duties and responsibilities
The incumbent will be responsible for coordinating the reception of the Program Admissions Files (PAF) from students from all advanced credential programs and record keeping of all submissions. Evaluate student eligibility in the Master's programs along with the Special Education and Advanced Credentials Programs. The incumbent will coordinate and assist with student eligibility in the Masters, Special Education Credential and Advanced Credentials Programs. The process will consist of creating and maintaining a record on the appropriate database, including entering demographic information, program objectives, verification of completion of the appropriate admissions requirements for each program, including applicable exams, pre-requisite coursework and appropriate GPA. The incumbent will be responsible for writing a report each year reviewing the admissions process, the number of applications processed and recommendations for changes so that the admissions process works smoothly. The incumbent will work directly with the program coordinators in coordinating and developing the content in this report.
The incumbent will be responsible for coordinating and processing Graduate Decision Forms (GDF). This process consists of the following: Check People Soft or other appropriate databases for submission of PAF for the student, email the decision to the student and obtain the appropriate signatures on the GDF. In addition, track the GDF via excel spreadsheet; refer to spreadsheet to update student status and ensure they have met their conditions if they were originally conditionally classified to the program. Place and/or remove necessary holds on student records if required. Update People Soft as required and perform other related duties as assigned.
Update student records in PeopleSoft with items as they come in (letters of rec, waivers of regulations, Writing requirement, CBEST, negative TB, etc.)
Classify student in People Soft and send communication.
In collaboration with the other admission staff members, the incumbent will coordinate and be responsible for the updating of all files for Admissions Criteria for all students who had not previously met the conditions and we admitted conditionally, or who were fully admitted and is in need of updating due to change in status.
Run student data queries via PeopleSoft or student tracking software.
The incumbent will assist in the day-to-day operations of the Masters, Special Education and Advanced Credentials Office. Serve as a liaison between the Masters, Special Education and Advanced Credentials Office and College of Education Program Coordinators, Administrators, and Department Administrative Support Coordinators, Admissions and Student Recruitment and Records, Registration and Evaluations. The incumbent will provide back-up assistance to the other Program Admission staff.
The incumbent will assist faculty, staff and students with the more complex issues related to Masters, Special Education and Advanced Credentials and Special Education Credential processing functions.
Collaborate with Program Coordinators and attend program/department meetings as needed.
Meet with Program Coordinators, as needed, to discuss program related items.
COE Graduate Programs' Support:
  • Build COMP exam courses in Blackboard for all Masters degree programs (10-12 courses) to include announcements with information and computer requirements for exam.
  • Build Proctoru courses for proctor times allotted (sometimes 8 separate courses to be built).
  • Send information to each student individually regarding signing up for a proctor time slot.
  • Send assigned number letter to each student individually.
  • Proctor Comprehensive exams on test day and handle any problems that may arise.
  • Send communication to students regarding pass or fail status.
Send grade sheets back to Coordinator regarding each student's status of pass or fail (with names).
Update and maintain Program Admission forms and applications.
Due to policy and/or regulation changes made by the C.O.E. Program, CSUSB, CSU Chancellor's Office, C.T.C. and/or program accreditation body, Program Admission related forms and applications will need to be reviewed and updated.
Program Admission forms and applications may include the following:
  • P.A.F. Requirements list
  • Program Admission Application
  • Letters of Recommendation form
  • Instructions for Processing Certificate of Clearance or needed clearances
  • Fee Receipt
  • Program Fieldwork Application
Request for a Program Change of Program Option In addition, the revised forms and applications will need to be provided to the appropriate technology support person to be uploaded to the appropriate C.O.E. webpages.
Minimum Qualifications: Required Education and Experience
  • High School diploma or its equivalent AND three years of progressively responsible experience in general office clerical or secretarial work or the equivalent.
Required Qualifications
  • Reading and comprehending, writing, communicating verbally, reasoning and analyzing.
  • Experience to be fully functional in all technical aspects of work assignments.
  • Thorough, detailed knowledge of applicable university infrastructure, policies, and procedures.
  • Thorough knowledge of English grammar, punctuation, and spelling.
  • Thorough knowledge of office systems and ability to use a broader range of technology, systems, and packages.
  • Ability to independently handle multiple work unit priorities and projects.
  • Ability to apply independently a wide variety of policies and procedures where specific guidelines may not exist.
  • Working knowledge of budget policies and procedures.
  • Ability to perform standard business math, such as calculate ratios and percentages, track financial data, and make simple projections.
  • Ability to draft and compose correspondence and standard reports.
  • Ability to handle effectively a broader range of interpersonal contacts, including those at a higher level and those sensitive in nature.
Compensation and Benefits:
Anticipated Hiring Range: $3,505 - $3,681 per month
Classification Salary Range: $3,505 - $5,508 per month

Academic year schedule: Monday through Friday (8:00 am - 5:00 pm), some evenings/weekends.
Summer schedule: Monday through Thursday (7:00 am - 5:30 pm), some evenings/weekends.

Background Check
