The incumbent serves as primary analyst for the office of the Associate Vice President. Primary responsibilities include providing high level administrative support for a complex organization including strategic initiative leadership, budget management and coordination of administrative support services for the office.
Major duties and responsibilities
Admin Support
  • Execute independent decisions on day-to-day administrative operations including procurement, travel, processing payroll, events and activities that often involve coordination with various executive offices such as office of the President, office of the Vice Presidents, academic Deans and other campus and CSU Leadership.
Personnel/Staffing Support -
  • Serves as the primary conduit between department heads and human resources for all personnel related activities including recruitment, reclass, in range progress request or other related changes. Maintains records on all job changes including of all job cards, new offers, performance reviews and other related records for all personnel within Finance and Administrative Services units.
Budget/Fiscal Services -
  • Serves as the primary support on budget and finance related matters for the Office of the Associate Vice President, including procuring supplies, maintaining asset records and compiling annual asset inventory information. Provides support and serves as the backup to the Finance and Administrative Services Financial Analyst/Project Coordinator; provides high level budget and fiscal support including managing a consolidated budget with varied and complex funding sources, often requiring frequent interaction and liaison with various offices. Strong competency in fiscal management and ability to use campus Enterprise Systems to obtain necessary information is strongly desired.
Project Management -
  • Provides support and serves as the backup to the Finance and Administrative Services Financial Analyst/Project Coordinator for major and complex strategic initiatives with a broad span of influence and often with significant campus wide impact. Ability to multitask and manage multiple initiatives simultaneous is a must.
Other Duties -
  • Perform other job-related duties as assigned and will provide back- up office support to the Vice President for Administration and Finance office, as needed.
Minimum Qualifications: Required Education and Experience
  • Bachelor's degree and/or the equivalent training and administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs, PLUS two years of related experience.
Required Qualifications
  • A comprehensive and detailed knowledge of a university infrastructure, policies, and procedures or in an organization with similar complexity is required.
  • Proven ability to interpret and apply policies and procedures independently and to use judgment and discretion is required.
  • Strong competency in fiscal management and ability to use campus Enterprise Systems to obtain necessary information is strongly desired.
  • A thorough mastery of English grammar, punctuation, and spelling is required along with the ability to effectively write and present reports, minutes, and other documents in a professional manner is required.
  • Expertise in using office software, technology and systems including but limited to Microsoft Word, Excel, Outlook, PeopleSoft and other standardized office equipment is required.
  • Ability to multitask and manage multiple initiatives simultaneously is required.
  • Proven ability to establish and maintain cooperative working relationships and work effectively both independently and/or as part of a team is required.
  • Skill in planning and performing research and participating in the development, alternation, implementation and evaluation of the organization's programs, policies, and procedures.
Preferred Qualifications
  • At least three (3) years of work experience providing progressively responsible administrative, technical and analytical support in an environment of similar complexity.
Compensation and Benefits:
Anticipated Hiring Range: $4,000 - $5,000 per month
Classification Salary Range: $3,518 - $6,791 per month

Schedule: Monday - Friday 8:00am - 5:00pm weekends and evenings may be required.

Background Check
