Department Summary
The Advancement Operations department provides the backbone of University Advancement's operation. In addition to the overall finance, administration and operations function, the Advancement Operations team also oversees donor stewardship; database management; reporting; gift and biographical records management; prospect research; and gift processing and accounting in accordance with the Internal Revenue Service (IRS) and the Council for the Advancement and Support of Education (CASE).
Job Summary
The Advancement Reporting and Data Analyst will employ a variety of analytical techniques to provide tools, reports and resources to support data driven decision making for the University Advancement division which will further the fundraising efforts, alumni relations and donor engagement programs of the Advancement division. Additionally, this position will have oversight of the University's constituent management database and monitor database functions from integrity of data, integration of overlay systems, and will execute reporting mechanisms to relay changes in giving and engagement behavior.
Responsibilities include, but is not limited to:
Reporting & Analytics
  • Initiate and lead projects related to the analysis of internal and external donor and alumni data, and provide conclusions, recommendations, and information to inform data-driven decisions.
  • Deliver value-added information and analysis that supports campaign and fundraising efforts by developing and implementing analytic data models and providing reports on metrics and deliverables to the division's leadership team.
  • Produce, analyze and maintain a suite of reports, dashboards and other visualizations that provide insights into performance and trends, dollars raised, constituency participation, performance metrics, engagement insights, trends in fundraising and comprehensive campaign-related activities and metrics. Develop custom lists and reports for ROI on appeals, campaigns, mailings, event invitations, ad hoc queries, and other reports as may be requested by leadership and end users.
  • Test, validate, and evaluate reports and dashboards; develop and maintain documentation and provide training for use.
  • In collaboration with the appropriate team members, produce financial and analytical data for endowment reports, engagement correspondences and various projects relating to scholarships and stewardship.
  • Guide information requestors in defining and analyzing needs and recommending proposed solutions, applications or tools.
Database Management/Data Integrity
  • Respond to data requests and pull data for alumni and donor data using established workflows for approvals.
  • Develop and monitor processes and procedures for database access and information flow, adhering to data privacy regulations and policies and protecting confidential information.
  • Create, oversee and troubleshoot user accounts, roles, and privileges.
  • Provide appropriate service, support, training, and advice to end users regarding the capabilities and functions of constituent management software products, along with technical and application issues.
  • Serve as a liaison between end users and ITS programmers and other technical staff and conduct research and analysis to help resolve issues that impact operations and users.
  • Regularly review, investigate, and identify database clean up and integrity, including record duplicates, invalid or incorrect manually entered or uploaded data, etc., to maximize accuracy and usability of Advancement data in accordance with guidelines and standards.
  • Work with various departments on campus to optimize data collection and capture student, alumni, donor, friends and government contacts, events, activities, affiliations and awards.
  • Research, plan, coordinate and monitor systems upgrades in collaboration with ITS, researching other database applications, making recommendations to Director and AVP of Advancement Operations, developing long term plans for testing, implementation and data conversion of each system; monitoring those conversions and integration processes with existing database systems.
Operations Process Improvement
  • Proactively identify on-going technology needs to recommend and implement process improvements that meet CSU guidelines.
  • Assist Director in ensuring procedures within Advancement Services and Operations are accurately documented and available for reference.
  • Collaborate with team partners to assess, recommend, and implement effective and efficient processes throughout Advancement seeking to incorporate available systems and automation.
Other
  • Provide backup support for gift processing as needed.
  • Perform other duties as assigned.
Employment Status: Full-time, Exempt, Probationary with the possibility of converting to permanent.

Work Schedule
Monday through Friday from 8:00 am to 5:00 pm, weekends and evenings may be required.

  • Working knowledge of and ability to apply standard theories, principles, practices, and techniques applicable to the program and/or administrative specialty to develop conclusions and make recommendations.
  • Thorough knowledge of policies, procedures, and outside regulations pertaining to the applicable program and/or administrative specialty.
  • Working knowledge of operational and fiscal analysis and techniques.
  • Ability to take initiative and independently plan, organize, coordinate, and perform work in various situations where numerous and diverse demands are involved.
  • Skill in the research, development and evaluation of policies and programs, including skill in the collection, evaluation, and interpretation of data to develop sound conclusions and make appropriate recommendations.
  • Expertise in investigating and analyzing problems with a broad administrative impact and implications. Ability to anticipate problems and address them proactively.
  • Demonstrated ability to effectively interpret, organize, and present information and ideas in written or presentation form.
  • Ability to train others on new skills and procedures and provide lead work direction.
  • Strong analytical skills and ability to creatively solve complex problems.
  • Detail oriented and organized with ability to meet deadlines and maintain accuracy.
  • Proficiency in the Microsoft Office products suite (Excel, Outlook, PowerPoint, Word).
  • Ability and desire to learn new analytical techniques and reporting tools and an innovative nature.
  • Excellent written and verbal communication and collaboration skills.
  • Ability to function independently while working well in a team-oriented environment.
Education and Experience
  • Bachelor's degree and/or the equivalent training and administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs, PLUS two years of related experience.
Preferred Qualifications
  • Experience in a higher education or large non-profit fundraising environment.
  • Working knowledge of relational database architectures.
  • Experience with developing and implementing business intelligence reporting tools such as Tableau or Power BI and using CRM software to query, extract and/or load data.
  • Strong knowledge of higher education fundraising principles and gift accounting.
  • Minimum of two years of experience providing implementation and functional support of Ellucian's Advance or similar CRM.
Salary
Anticipated Hiring Range: $4,667 - $5,083 per month
Classification Salary Range: $3,897 - $7,051 per month
