As a member of the Admissions Evaluations unit, the Admissions Counselor position is responsible for interacting with student applicants to the University. Providing clear information regarding admission requirements and transfer, as well as review of official documents for official admissions decisions and reporting.
Duties and responsibilities
Transcript and Document Evaluation:
The incumbent will work closely with the Director of Admissions and Evaluations Lead to determine eligibility for applicants to CSUSB and to impacted majors. The incumbent will also be knowledgeable of and perform all duties in accordance with Title V, Chancellor's Office and Institutional policies and procedures.
Staff member will be responsible for reviewing and analyzing transcripts and other complex records of applicants to determine eligibility requirements; including but not limited to specific course requirements and specific GPA requirements depending on the major the student has applied for to the University. Employee is expected to be accurate when reviewing documents for GPA calculations, transferrable courses, etc. and to enter the admissions decisions and other pertinent information into the PeopleSoft system. Employee must have a thorough understanding of CSU requirements, possess the ability to meet goals in a timely manner and work well under pressure.
Special Population / Project:
Criminal Justice On line program All Admissions Counselors are assigned to a special duty, project or population. The responsibility to this special project include, but are not limited to, the evaluation of application materials for members of the population, meeting with on and off campus partners or programs to assess needs and provide services, talk with individual students to determine special circumstance, gathering and presentation of data as appropriate to project. The Counselor is responsible for the management of the project or population and for determining how to conduct the operations of this endeavor. Examples of Special Projects / Populations include, work with Veterans, Residency determination, appeals procedures, Project Rebound, High School University Program and other items to be determined by the Director of Admissions Operations.
Applicant Communication/Appointments:
Employee will meet with students on a regular basis to discuss admissions eligibility issues in relation to impacted major and eligibility guidance , provide pre-admission counseling to prospective students and customer service to students on a continuous basis in person (one on one and in group settings), on the telephone, and electronically. Coordinates and conducts workshops on Admissions, EOP, Residential Housing, Financial Aid information, and other important student-related programs. Provides Admission Counseling appointments. Under the direction of the Director and/or Lead, serves as a liaison between the Office of Admissions and campus partners such as academic departments or student services departments.
Admissions Event Participation:
The staff member will facilitate an understanding between the applicant, families, education professionals, the campus community and ASR. Employee will participate in on-campus high profile recruitment events such as Open House, Transfer Day, Counselors' Day, and the Presidential Scholars Program. Employee will also enter inquiries of prospective students in Prospect Database.
Other Duties as Assigned:
Other duties as assigned by evaluations Lead and/or Director of Admissions.
Minimum Qualifications: Required Education and Experience
  • Education: Equivalent to graduation from a four-year college or university in one of the behavioral sciences, public or business administration or a job-related field.
  • Additional specialized experience during which the applicant has acquired and successfully applied the knowledge and abilities may be substituted for the required education on a year for year basis.
  • Experience: Possession of these knowledge and abilities is typically demonstrated through the equivalent of two years of professional experience in one of the student services program areas or in a related field; experience should give evidence of competence and indicate the potential for further growth. A master's degree in a job-related field may be substituted for one year of the professional experience.
Required Qualifications
  • Completion of Bachelor's Degree in related area.
  • Data entry/computer (PeopleSoft) skills. Working knowledge of various software packages such as Microsoft windows, Microsoft excel, Microsoft word and Microsoft PowerPoint and Onbase.
  • Demonstrated ability to communicate with students, staff and others regarding admission requirements, policies and procedures and promote a "student friendly service" image of Enrollment Services.
  • Ability to interpret and apply program rules and regulations; use initiative and resourcefulness in planning work assignments and in implementing long-range program improvements; obtain factual and interpretative information through interviews; reason logically; collect, compile, analyze and evaluate data and make verbal or written presentations based on these data; advise students individually and in groups on routine matters where required; recognize multicultural, multi-sexed and multi-aged value systems and work accordingly; establish and maintain cooperative working relationships with faculty, CSU administrators, student organizations, private and public agencies and others in committee work, and student advising and community contacts; and, rapidly acquire a general knowledge of the overall operation, functions and programs of the campus to which assigned.
  • Demonstrated ability to make decisions and carry through actions having implications with regard to other program or service areas Services Office.
  • Demonstrated ability to learn and apply complex unit, department and campus policies and procedures.
Preferred Qualifications
  • Two years of professional experience in areas related to student services programs or in a related field, preferably in Admissions and Recruitment, including experience in maintaining academic records, applying complex rules to daily work, analyzing academic qualifications and granting appropriate credit, and advising prospective students on fulfilling admissions requirements.
  • Excellent written and oral communication skills.
  • Experience with CRM system.
Compensation and Benefits
Anticipated Hiring Rate: $4,610 per month
Classification Salary Range: $4,610 - $6,556 per month
The CSU system provides a comprehensive benefit package that includes medical, dental and vision plans, membership in the California Public Employees Retirement System (CalPERS), sick and vacation time, and 14 paid holidays a year. Conditions of Employment
Background Check
Satisfactory completion of a background check (including a criminal records check) is required for employment. Failure to satisfactorily complete the background check may affect the continued employment of a current CSU employee who was conditionally offered the position.
