Department Summary
The Accounting Services department's main function is reviewing, analyzing, and recording the financial data for the University and Auxiliaries. We are responsible for monthly and year-end closing of accounting records and preparing this information for reporting to the CSU Chancellor's Office and various state agencies. In addition, we are proud to service the University departments by providing guidance and training as needed. The areas of responsibility include General Ledger, Billings, and Receivables, Trust Funds, Chart of Accounts, Audits, and Cash Management.
Job Summary
The Accounting Specialist is essential in the oversight of University's resources, guiding campus departments on the proper use of funds, and maintaining financial integrity through sound accounting practices. Duties will include Sponsored Program and general accounting tasks including, but not limited to account reconciliations, chargebacks, transfers of expense, billing and cash posting orders; process journal entries for month-end and year-end closing processes, and support for campus departments for general ledger transactions.
Responsibilities include, but is not limited to:
  • Generate and send out financial monthly statements to Principal Investigators (PIs).
  • Reconcile sponsored project financial between budget to actuals and encumbrance ledgers.
  • Review open purchase orders/encumbrances to ensure invoices are reconciled and paid out timely.
  • Prepare sponsored project financial reports as part of agency's requirements.
  • Research and answer questions relating to sponsored project financial transactions and accounting activities.
  • Resolve any discrepancies or errors and prepare correcting journal entries as needed.
  • Compile and send out sponsored project closeout reminders to PIs.
  • Examine financial data for completeness, accuracy, and conformance with funding agency policies and procedures.
  • Reconcile revenues and expenses for each project and assist in the closeout awards process.
  • Provide customer service to PIs and campus colleges pertaining to sponsored project funds accounting.
  • Reconcile general ledger and sub-ledger accounts for banking, accounts payable, sundry accounts receivable including payroll related billings and labor cost distribution.
  • Coordinate with campus departments to clear reconciling items. Monitors account balances, perform aging analysis and prepares write-off recommendation according to CSU policy and campus guideline.
  • Properly document collection efforts and reporting requirements.
  • Work closely with payroll services for employee related receivable and write-offs.
  • Assist with processing campus chargeback journals, transfer of expenses, revenues, and funds in accordance with CSU polices and campus guidelines.
  • Assist with reconciling receivable accounts and clearing discrepancies of interagency transactions for year-end reporting.
  • Serve as the liaison between accounting services and campus departments on general ledger transactions and fund management.
  • Complete special assignments and other duties as requested by Associate Controller and University Controller.
Employment Status: Full-time, Temporary, "Non-Exempt" position with the possibility of converting to permanent.

Work Schedule
  • Monday through Friday from 8:00 am to 5:00 pm, weekends and evenings may be required.
Key Qualifications
  • General knowledge of Generally Accepted Accounting Principles (GAAP).
  • Office methods and procedures; statistical and mathematical presentation of data.
  • Advanced proficiency with current word processing and spreadsheet software programs, web browsers, query tools, integrated financial systems and/or other types of records management systems.
  • Ability to interpret and follow instructions and policy guidelines.
  • Analyze financial and statistical data and draw conclusions.
  • Utilize problem solving techniques.
  • Establish and maintain effective working relationships with others.
  • Communicate effectively with others inside and outside the unit, including conveying technical information to non- Accountants.
Education and Experience
  • Equivalent to a bachelor's degree with a major in accounting, business administration, finance, or a closely related field OR a combination of education and experience which provides the required knowledge and abilities.
Preferred Qualifications
  • Bachelor's degree in accounting, finance or a related field.
  • 2 to 3 years previous general accounting or business experience.
  • An understanding of general accounting concepts, such as debits, credits, accruals, refunds.
  • Experienced with ERP systems (general ledger module) and Microsoft Windows Office.
  • A courteous, professional demeanor and excellent customer service skills.
  • Effective oral and written communication skills.
  • Experience with account reconciliations (i.e. bank and balance sheet accounts).
  • Experience with month-end and year-end close processes.
  • Previous experience in governmental entities or higher education.
Salary
Anticipated Hiring Range: $3,775 - $5,000 per month
Classification Salary Range: $3,775 - $7,073 per month
