Position Information
This is a full-time, permanent (probationary) position.

Major Duties
Under general supervision of the Associate Dean and in collaboration with the Department Chair for Occupational Therapy, the incumbent's primary duties involve moderate to complex clerical work assignments in support of the Occupational Therapy Department. Assignments include planning and coordinating work activities with relative independence, communicating effectively, and meeting deadlines. The incumbent will utilize a full range of office support technology and systems to enter data, generate reports, and maintain databases. Work often involves front line contact with a variety of campus and community individuals requiring active problem solving and effective interpersonal skills.
Qualifications
Required Education and Experience
High school program, technical/vocational program, or their equivalents combined with several years of related office work experience, equivalent to three (3) years.
Required Knowledge, Skills and Abilities
Thorough, detailed knowledge of university, college and departmental policies and procedures.
Thorough knowledge of correct English grammar, spelling and punctuation.
Thorough knowledge of office systems and ability to use a broader range of technology, systems, and packages.
Knowledge of record management.
Ability to perform standard business mathematical functions, including tracking and comparing data.
Ability to establish and maintain effective working relationships and handle sensitive and confidential situations.
Ability to coordinate multiple different tasks.
Ability to communicate effectively both written and orally.
Ability to independently handle multiple work unit priorities and projects.
Skill in using the following software applications: Excel, Word, Outlook, PowerPoint and Access.
Skill in administrative organization, calendar maintenance, planning meetings and events.
Ability to handle effectively a broader range of interpersonal contacts and high level of detail-oriented work.
Responsibilities
45% Oversees all aspects of the administrative operations of the Occupational Therapy department.
  • Supports the Occupational Therapy Department with daily needs providing customer service to all staff, faculty, and students from the department.
  • Serves as the primary point of contact to current and prospective students responding to inquiries and assisting as needed in-person, on the phone, Zoom, and via email; receives and processes various student forms; provides program information/graduation requirements information to students and makes independent decisions, anticipates problems and follows-through on their resolution.
  • Coordinates various office functions including the arrangement of meetings and room reservations; orders office supplies; designs recruitment and orientation materials such as brochures, posters, and flyers; organizes information packets; processes textbook adoptions; contacts publishers for desk copy requests; and assists in the editing and updating of course content and uploads information into Blackboard.
  • Assists program applicants and admissions committee in the overall admission process and maintains application documents.
  • Assists the program coordinator, fieldwork coordinator, and capstone coordinator with clerical and administrative processes.
  • Runs various PeopleSoft functions through the Student Administration module pertaining to enrollment, student progress, and other student support needed for review by the department chair and/or OT Program Coordinators. Assists faculty with form processing, such as grade submissions, petitions, etc. and collects signed contracts for submission to the Dean's Office.
30% Supports financial activities for the department by processing requisitions, direct pays, hospitality requests, travel requests, Foundation purchase orders and check requests, procurement card purchasing and reconciliation, as well as the tracking of all department expenditures and reimbursements.
10% Coordinates various annual department events and special community involvement events. Responsibilities include but are not limited to:
  • Reserves space, schedules meetings, prepares event sites, works with catering vendors, and sends out necessary communications for the events.
10% Provides assistance in the development, coordination, and maintenance of program schedules at the department level and identifies schedule problems and changes necessary for student registration.
5% Other duties as assigned.
