Job Summary Reporting to the Associate Director of Housing, the position is directly responsible for supervising the Maintenance Call Center for all of Housing and serve as the Housing Office Manager. Responsibilities include supervising the (Senior) Housing Coordinators and their daily operations and tasks. The position will supervise the daily maintenance triage for all Housing units in collaboration with other Caltech departments and live-in Housing staff. The Housing Maintenance Services Manager will work with IMSS to manage the Housing maintenance data systems. Along with the Associate Director and the other Housing Senior Management Staff, the Housing Maintenance Services Manager will participate in the administration of the Institute's housing program including, but not limited to, on and off-campus housing policy, procedure development and implementation, housing facilities planning; selection, training, supervision, and evaluation of staff; budget planning and management; the administration of housing rate scenarios; and liaison with other Institute departments. Essential Job Duties
Responsible for the selection, training, development and daily supervision of the Housing Maintenance Call Center; (Senior) and other Housing Coordinators
Manages and oversees all aspects of the daily and routine maintenance requests for all housing units
Provides direction, oversight and guidance to staff responsible for performing all daily and routine maintenance processes
Develops, implements and monitors preventative maintenance programs
Meets with other Senior Maintenance Staff bi-weekly for strategic planning, on-going projects, student House issues and outstanding work orders
Coordinates with Facilities on the daily and routine maintenance within all Housing units
Partners with Facilities for on-going custodial quality control
Serves as the Housing Office Manager, managing space, supplies, appearance, events, etc.
Works with IMSS and Facilities to manage and update the Housing Maintenance data systems (AIM)
Acts as primary liaison for WASH services and contract
With the Associate Director, reviews, updates and administers the policies and procedures for residents in on and off-campus housing
Creates and updates Caltech Housing internal policy, the website and procedure manual
Assists with the planning and execution of all Housing turnovers
Participates in the projection of operating budgets and vendor competitive pricing
Works with the Residential Life Coordinators for on-going maintenance issues for on and off-campus housing
With the Associate Director of Housing, reviews, updates and administers the policies and procedures for residents in on and off-campus housing
Works with the Assistant Director of Maintenance and Infrastructure Management to ensure timely resolution of maintenance requests
Partners with other Senior Housing Management Staff on short and long-term projects for on and off-campus housing
Manages invoice and purchase order distribution for routine maintenance and long-term projects
Monitors work load for the (Senior) Housing Coordinators
Addresses customer complaints
Supervises distribution and collection of all damage charges
Develops and prepares various management, information and expense reports
Assists the Associate Director with special projects as assigned
Support the rights and responsibilities of all residents on our campus to be able to live and study in a safe, comfortable and well maintained environment
Actively participate in fire drills, earthquake procedures, and crisis management events
Assists in administering the Emergency Action Plan as it pertains to housing roster assignments (Organizational Critical Status)
Other duties as assigned
Basic Qualifications A high school diploma and 5-7 years of increased responsibility in a university housing office or related area is required. In addition, experience in the operation of an administrative unit and in planning and managing office operations is necessary. Also, problem solving skills and mediation with diverse populations is a must. This includes awareness and sensitivity to special interest groups, parents, students, faculty, and staff. Excellent written and oral communication skills are required. Demonstrated excellent customer service skills are essential for success. The ability to interact at all levels with campus and system-wide officials is mandatory. Must be proficient with MS Office, File Maker Pro a plus. We seek a strong leader who is an effective communicator with students, faculty, administrators and parents with diverse backgrounds. Caltech Housing is a 24/7 operation that sometimes requires work after hours and on weekends. Preferred Qualifications
