Caliber Financial Services is Hiring a Remote Facility Coordinator

Job Title: Facility Coordinator
Department: Operations
Reports To: Senior Director of Special Operations
Position location: This role is required to be in the office in Overland Park, KS Tues-Thurs on a weekly basis. May also be required to be in the office on other days as needed.
The Facility Coordinator will maintain the smooth operation of the office environment and facility maintenance. Their responsibilities will encompass a wide range of tasks aimed at maintaining efficiency, productivity, and working order of all facilities and equipment. This will cover both the Kansas City and Oklahoma office.
Key Responsibilities:
  • Manage supply inventory, stocking, & ordering for entire office
  • Manage facility maintenance & improvements as needed including but not limited to: general facilities, appliances, coordinate & track IT maintenance, shred bin services, regular and deep cleaning services, and specialty services
  • Manage vendor services for furniture, equipment, and appliance replacement/repair/procurement
  • Manage organization of facility items such as Key box, supply storage, alarm code list, tour scheduling
  • Manage/assist with internal office services: Badge issuance, badging access requests, alarm code issuance, opening/closing the office, ordering desk name plates for new hires
  • Create & maintain reference documentation for office
  • Be the POC for all non-IT related facility services and maintain vendor contact information for all facility, equipment, and furniture related services.
  • Perform daily walkthroughs of the office – noting and addressing any items in need of attention (being pro-active to fix issues before they are reported).
  • Track and manage facility costs to the set annual budget.
  • Handle visitor management
  • Manage mail reception and package storage/organization
  • Manage office recycling program
  • Managing Corporate Wood announcements and disseminating communications within the company
  • Vendor POC for building maintenance and improvements – seeking out vendors for services, handling invoices and quotes, scheduling vendor services
  • Manage office artwork procurement and rotation
Skills:
  • Advanced Excel Skills
  • Strong written and oral communication skills
  • Experience managing email marketing campaigns
  • Experience managing SMS marketing campaigns
  • Experience creating and optimizing automated marketing campaigns through Hubspot, Salesforce Marketing Cloud or similar
Experience & Education
  • 7 years of Facilities coordinating experience
  • Bachelor’s degree preferred, or comparable work experience in Facilities Coordination and/or equivalent combination of education and experience
Travel Requirement
Up to 10% domestic travel including occasional overnight trips.
Work Environment
This is a hybrid position. Candidates MUST reside in the Kansas City Metro area in order to be considered. No exceptions. This role is required to be in the office Tues-Thurs on a weekly basis.
