CALERO is Hiring an Invoice Specialist Near Rochester, NY

Job Summary:

It is the job of the Invoice Specialist to be responsible for obtaining, chasing, and loading invoices across multiple platforms and clients. They are a key contributor to the initial loading Service Level Agreements (SLA). The key activities are to ensure that the invoices are entered into the system in adherence to our client specific requirements.


Responsibilities
:

  • Identification and gathering of missing Invoices as assigned
  • Download vendor billing data from billing portals as required
  • Preparation of client’s telecom invoices for loading
  • Daily accurate loading of received invoices meeting SLA requirements for each customer
  • Load invoices both manually and through electronic loading process following establish format and customer specific business rules
  • Validate accuracy of invoice data entered; invoice date, vendor remit, expense/charges, invoice amount and accounting distributions, note invoice for variances and validation completed
  • Interact with internal staff and vendor to resolve billing issues
  • Manage escalations to Invoice Analyst or Sr. Invoice Analyst for issues to be addressed with customer
  • Update client Billing Address with Vendors as needed
  • Where integration does not existing, maintain the appropriate adjacent application for data integrity and accuracy
  • Monitor all open helpdesk tickets for assigned customer(s) and escalate to SOM as necessary
  • Maintain the highest quality customer service and promote a positive attitude

Education:

  • Bachelor’s degree in STEM, Finance, Accounting or Business and/or related experience (preferred)

Experience and Training:

  • 1-2 years’ relevant experience
  • Related experience and/or training; or equivalent combination of education and experience

Technical Knowledge:

  • Working knowledge of Microsoft Office Suite (Outlook, Excel, Word, PowerPoint), data entry systems
  • Gathers and interprets data to solve routine problems that require verification.
