Cal State LA University Auxiliary Services Inc is Hiring a Pre-Award Sponsored Program Administrator, #1255 (CIRCA) Near Los Angeles, CA

Pre-Award

Work Schedule: This is a full-time position; Monday -Friday 8:00 am to 5:00 pm; non-exempt position. This position is eligible for benefits.

Position Summary:

This position will coordinate the grant application and pre-award process including preparing proposals and grant applications, developing proper budgets, collaborating with internal and external stakeholders on grant applications, and submitting proposals to the appropriate agencies.

Reports to: Pre-Award & Contracts Manager

Essential Functions:

Pre-award administration of grants and oversight of grant-related compliance regulations:Provides guidance and support to the Faculty and Administrative Staff; Reviews proposals for agency requirements assemble proposals, and gets institutional officials' signatures on Certifications, Assurance, and the proposal.

Other Functions:

  • Prepare internal and external budget details for grant/contract applications.
  • Maintain current knowledge of federal, state, and private agency regulations and policies, staying abreast of new/changing laws, regulations, and Uniform Guidance that affect sponsored program activities.
  • coordination of grant submissions
  • Ensure that all proper information/documentation is uploaded into the designated application portal.
  • Sets timelines for proposal submissions.
  • Guiding required elements.
  • Assurance of agency and campus policy compliance.
  • Draft and negotiate terms of contracts, subcontracts, and confidential disclosure materials with both Principal Investigators and agencies.
  • Works with University Advancement with Budget and Post award approval process for awards
  • Conflict of interest administration
  • Creates Monthly Awarded and submitted reports.
  • Creates Reports for the Office of Research, Scholarship, and Creative Activities on COAST, Cost-Sharing, College Faculty, Indirect Costs, MSI, STEM, and other Requests.
  • Maintain accessibility to submission portals.
  • Maintain and train faculty on (Cayuse) internal and external workflow processes. Coordinates with the IRB and IACUC departmentsfor approval letters and files.
  • Submits proposals in multiple formats including Electric and paper formats.

Accountability:

Performance is evaluated on the achievement of individual goals and objectives, the accuracy of analysis and verification of data, and the performance of job duties as related to the Pre-Award Sponsored Program.

Requirements:

  • BS degree in a related field or equivalent experience.
  • Five years' experience in pre-award grant administration.
  • Computer literate (Excel and Microsoft Word)
  • Ability to communicate verbally.
  • Hand and finger dexterity to operate 10 key adding machine, typewriter, computer, and other office equipment.
  • To perform the essential duties of this position to standard, consistently for a minimum of eight (8) hours daily
  • Contacts Internal administration staff: university personnel, suppliers, and vendors.

The Pre-Award Sponsored Program Administrator must demonstrate an interest or ability in working in a multicultural/multiethnic environment. A background check (including a criminal records check) must be completed satisfactorily before any candidate can be offered a position with the UAS. Failure to satisfactorily complete the background check may affect the application status of applicants or the continued employment of current UAS employees who apply for the position.
