Job Description Summary
This position supports Wildland-Urban Interface FIRE Institute (WUIFI) whose mission is to help create the most fire resilient communities in the world. The Administrative Coordinator (AC) assists with administrative, clerical, project budget oversight, and coordination duties as assigned by the WUIFI Director. The position will work 40 hours per week from an office at the Cal Poly San Luis Obispo campus. This position is part of the Cal Poly Corporation (CPC). Schedule flexibility, including some weekend work, within non-exempt parameters, is expected. While the position reports to the WUIFI Director, the AC will work closely with faculty, staff, and external stakeholders in support of various research, projects, student involvement, and meetings.
Term of Employment: The current funding for this position is secured for 24 months from date of hire. It is the intent of the Director to secure ongoing funding for this position to eventually become permanent.
Minimum Qualifications
High school diploma or its equivalent
Four years of general office support or technical experience. Training at a vocational school or full-time college education may be substituted for two years of the required experience on the basis of one year of college education for six months of experience.
Possession of a valid California Driver’s License and satisfactory driving record
A background check is required for all regular benefited positions
The person holding this position is considered a ‘mandated reporter’ under the California Child Abuse and Neglect Reporting Act and is required to comply with the requirements set forth in CSU Executive Order 1083 as a condition of employment
Preferred Qualifications
Graduation from an accredited four-year university
Certifications of training in Microsoft Office Suite applications or equivalent
Experience with oversight of project budgets
Experience with public interaction in a business setting
Experience with social media and web page maintenance
Experience writing and editing professional correspondence
Desirable Knowledge, Skills, and Abilities
Ability to perform complex duties
Proficient computer skills including word processing and spreadsheet
Ability to prioritize, plan, organize, and meet timelines
Ability to lead others in managing tasks; train personnel on policies and procedures
Excellent verbal and written skills and the ability to interface with varied people including students, faculty, staff, and the public
Interpersonal skills using tact, patience, and courtesy
Ability to maintain regular and reliable attendance
Communicate complex ideas effectively in writing and verbally in individual and group settings
Move from one task to another frequently to address timely support needs, phone calls, and Director requests
Be aware of personal performance limitations and be willing to notify the Director if support is needed to manage the workload
