Cabarrus County Schools is Hiring a Treasurer/Data Manager, 12 months, 8 hours/day Near Concord, NC

School Treasurer/Data Manager

This is a combined position and this person is responsible for all clerical duties at the school.

Qualification Requirements
• Combination of education and experience equivalent to graduation from a two year or community

college with coursework in finance, business, or accounting
  • PC skills required.
  • Experience with Microsoft Word and Excel required.

General Definition of Treasurer Work
Performs intermediate skilled administrative support work maintaining a variety of financial records, reports and
documents, preparing required or requested fiscal reports, receiving, processing and receipting incoming
monies, processing purchase requisitions, keeping accurate records of budget activity, verifying payroll records,
securing substitute teachers, and related work as apparent or assigned. Work is performed under the limited
supervision of the Principal.

  • Working knowledge of office practices, basic bookkeeping, and basic accounting clerical methods, and

Essential Functions
• Prepares and maintains financial systems and records.
  • Receives, receipts, accounts for, and deposits school funds.
  • Prepares invoices for payment, checks for documentation, charges, discounts and approval.
  • Maintains internal audit policies and procedures.
  • Prepares purchase orders and checks for purchases made by school.
  • Posts receipts and disbursements to school fund accounts.
  • Prepares daily report of funds received and deposited as well as funds disbursed.
  • Reconciles bank statements.
  • Prepares a wide variety of accounting, fiscal, statistical and similar reports.

  • Prepares for and assists with outside audits.
  • Maintains financial records for instructional supply funds for all departments.
  • Purchases supplies and maintains inventory.
  • Prepares purchase orders for payment and verify coding.
  • Prepares, submits, and maintains payroll information.
  • Works with teachers on personnel issues, such as insurance, longevity, annual leave, sick leave,
etc.
  • Assists administrators in procurement and assignment of substitutes.
  • Performs general clerical work as required
  • Performs other related tasks as required.

General Definition of Data Manager Work
Performs intermediate technical work maintaining an information resource, ensuring data consistency
and integrity, collecting and reporting related information, working with users to design and create
requested or required reports, participating in testing and implementation, and related work as
apparent or assigned. Work is performed under the general direction of the Director of Accountability
Services.

Essential Functions

  • Maintains and utilizes the computerized student information system including student
enrollment information, demographics, immunizations and emergency contact information.
  • Maintains computer records of students' scores on state mandated tests and standardized
tests.
  • Prepares and or maintains computer records of student attendance; enters data from
submitted forms, review late-arrival forms, and reconciles absences to create absence and
tardy reports.
  • Prepares correspondence to parents to advise them of excessive absences according to
established policies and procedures.
  • Maintains, generates, and distributes student demographic, scheduling and grading
information.
  • Maintains records of student suspensions, student withdrawal from school, records reasons for
student withdrawal and student's plans and prepares periodic statistical reports.
  • Accesses the Internet to download student information and upload files.
  • Facilitates transfers of student information between schools.
  • Prepares attendance reports and reconciles manual and computer reports.
  • Provides information and training to school staff on the use of the student information system
and application of data from the system.
  • Generates Excel spreadsheets for Administration and teachers as needed.
  • Coordinates user security within the student information system with district personnel.
  • Attends conferences and classes to develop and maintain knowledge of database management
and the student information system.
  • Enters school schedule information into the student information system.

  • Administers medication and minor first aid in the absence of the school nurse and other office
staff.

  • Knowledge of the attendance regulations in the Student Attendance and School Accounting Manual.

  • Thorough knowledge of specific software types and reports used in a school system.
  • Ability to create and maintain reports related to student activities.
  • Ability to operate standard office equipment.
  • Ability to work with a high degree of accuracy.
  • Ability to troubleshoot and correct minor software problems.
  • Ability to exercise independent judgment in correcting data errors or omissions.
  • Ability to communicate well with school personnel, parents, students, and central office staff while
complying with the confidentiality requirements in local, state, and federal policies and status.
  • Minimum Typing Speed: 45 wpm.
  • Ability to use Microsoft Office Word, Excel and Access.
  • Ability to generate typical business correspondence exhibiting strong skills in vocabulary, grammar, and
spelling.
  • Ability to follow oral and written instructions with little direct supervision; to sort and place items in
proper sequence; to compare and compile written information carefully and accurately.
  • Ability to learn specialized software or equipment based on district need.
  • Ability to communicate effectively orally and in writing.
  • Ability to develop and maintain user manuals related to software systems supported.
  • Ability to generate applicable reports; ability to establish and maintain effective working relationships

with staff, students, vendors and the general public.

Physical Requirements
• This work requires the occasional exertion of up to 25 pounds of force.
  • Work regularly requires speaking or hearing, frequently requires standing, walking and sitting and

occasionally requires using hands to finger, handle or feel, stooping, kneeling, crouching or crawling,
reaching with hands and arms, lifting and repetitive motions.

  • Work has standard vision requirements.
  • Vocal communication is required for expressing or exchanging ideas by means of the spoken word and
conveying detailed or important instructions to others accurately, loudly or quickly.
  • Hearing is required to perceive information at normal spoken word levels and to receive detailed
information through oral communications and/or to make fine distinctions in sound.
  • Work requires preparing and analyzing written or computer data.
  • Work has no exposure to environmental conditions.
  • Work is generally in a moderately noisy location (e.g. business office, light traffic).
