Position Overview
We are looking for a skilled Office Coordinator, in our San Diego, CA office to undertake a variety of day-to-day office and clerical tasks. You will be an integral part in ensuring that our office operations run smoothly and are successful in supporting other office locations and business activities.
An excellent office coordinator is, above all, an organized and competent professional with phenomenal communication skills. You will be comfortable dealing with people and able to carry out administrative duties with accuracy and speed. The goal is to ensure that office operations are efficient and add maximum value to the organization. We are looking for support on a part-time basis (20 hours/week) Monday through Friday, between the hours of 11:00a - 5:00p.
Position Responsibilities
  • Follow office workflow procedures to ensure maximum efficiency
  • Maintain files and records with effective filing systems, including electronic files and databases
  • Support other teams with various administrative tasks (redirecting calls, disseminating correspondence, scheduling meetings etc.)
  • Coordinate with Mission City Building Management for any special events or safety
  • Coordinates all local, regional, and national meetings for selected department including set up of technology in conference room prior to meeting time, arranging for ordering/delivery of food, and making other necessary arrangements.
  • Maintains calendar(s) and may make travel arrangements for PM and or Leadership staff
  • Greet and assist visitors when they arrive at the office, including lunch coordination as necessary
  • Assist with in office onboarding of new hires.
  • Ensure breakroom supplies, coffee, and areas are maintained and kept to clean acceptable operating conditions
  • May assist in the coordination, completion, and submission of expense reports for senior staff.
  • Orders office supplies and maintains inventory.
  • Fleet vehicle and or equipment inventory.
  • Files and archives all correspondence in a timely manner.
  • Identifies administrative needs and develops appropriate solutions or recommendations.
  • Completes other projects and duties as assigned.
  • Assist with billing and accounting functions to support Project Managers.
  • Support Project Managers with agency and client coordination, as well as regulatory paperwork and deadlines.
  • Utilize safe work practices in accordance with federal, state, local, and company standards.
  • Communicate incidents, accidents, near misses, potential hazards, and unsafe working conditions to a supervisor or the Health and Safety Department as soon as identified.
Skills/Education/Experience
  • Proficient with Microsoft Office Products, emphasis on Word, Excel/PowerPoint, Project and Outlook.
  • Proven experience as office coordinator or in a similar role
  • Experience assisting professionals in remote or decentralized offices
  • Working knowledge of office equipment operations (e.g., telephone, computers and copier)
  • Knowledge of office management systems and procedures
  • Experience in customer service will be a plus
  • Excellent communication and interpersonal skills
  • Ability to interact with all levels within the organization and work in a fast-paced environment.
  • Ability to meet administrative milestones, deadlines and budget.
  • Must be approachable, respectful, friendly, and flexible when dealing with group/office needs.
  • High school diploma or GED
  • Minimum 2 years' experience serving in an administrative support role
Estimated Compensation Range: $25.00-$28.00/hour*
*Actual compensation may vary based on related work experience, geographical location and market conditions, education/training, certifications, and other credentials, as well as applicable knowledge and skills.
