C. Raymond Davis & Sons, Inc. is Hiring an Administrative Specialist Near Phoenixville, PA

Established in 1928, C. Raymond Davis & Sons, Inc. is a family-owned and operated construction manager and high-end custom home builder headquartered in suburban Philadelphia. We are currently seeking an Administrative Specialist to join our Estimating team.

You will work in a casual, collaborative work environment and will help build our extensive portfolio of award-winning projects that includes retirement communities, private schools, religious institutions, commercial buildings, healthcare facilities, and luxury custom homes—just to name a few.

This is a role for an organized, motivated team player who can work alongside our Estimating Team to facilitate the efficient operation of the Estimating & Purchasing Department.

Essential Functions:

· Play a proactive role in supporting the estimating & purchasing department.

· Maintain digital and paper filing structure/systems as assigned.

· Maintain Subcontractor bidders list.

· Manage and distribute project documentation to Estimating Team

· Assist in prequalifying Subcontractors for purposes of Risk Management.

· Assist preparation and distribution of subcontractor bid packages to Estimators

· Maintain and improve Subcontractor database.

· Respond to and resolve administrative inquiries and questions.

· Schedule meetings, appointments & site visits for estimating staff.

· Prepare agendas and schedules for meetings.

· Maintain Bid Calendar

· Liaise with other departments as necessary to gather information & documentation

· Assist in the preparation of reports and proposals

Qualifications:

While no estimating or construction experience is necessary, strong administrative and computer skills are essential.

· Excellent organizational skills, attention to detail and ability to prioritize tasks.

· Excellent problem-solving skills and ability to offer creative solutions

· Ability to maintain composure during deadline-driven scenarios

· Excellent writing, editing, proofreading skills.

· Excellent interpersonal & collaborative skills

· Proficient typing skills

· Strong in Microsoft Office Suite & easily adapts to new programs such as Estimating tools like Smart Bid Net and Timberline

· Ability to work independently.

· Strong work ethic and dependable
