Budd Van Lines is Hiring a Support Administrator Near Somerset, NJ

 

Role Summary

Manage all survey and debris pickup requests by assigned region, while being cost effective. Ensure all surveys are completed and accurate before sending to the Pricing Department to run a cost estimate. Ensure all debris pickups are scheduled in a timely manner and completed within the required contract time limits.

Role Accountabilities and Responsibilities

  • Survey Duties: 
  • Contact a Surveyor/Agent within 24 hours of receiving request from the Coordination Department or Sales Reps.
  • Review move initiation and select appropriate survey platform to perform the relocation survey.
  • Provide all necessary information, (appointment time, mobile platform) and confirmations to all parties involved (i.e. assigned surveyor, move coordinator etc.). 
  1. Provide Surveyor/Agent with survey request form prior to the video or visual survey appointment which includes the contact option, and details about the shipper and their move. 
  • Manage pending appointments and complete follow ups with the Surveyor and Move Coordinator as needed. 
  • Verification of survey within a 48-hour time frame to confirm scheduled appointment is booked. 
  • Maintain the BES System by doing the following: 
  1. Input survey appointment details
  2. Update system with Agent/Surveyor information 
  3. Update system with any other pertinent information required
  • Review survey results to ensure adherence to Budd Van Lines quality standards (legibility, accuracy, thoroughness, and adherence to contractual terms). 
  • Adjust (bump) survey results as required per account. 
  • Update the BES system with information regarding weights and any additional pertinent information required. 
  • Maintain process to qualify surveyors (adherence to BVL standards, test to become qualified, background check up to date, etc)
  • Send survey results and cube sheet details to the Pricing Team to run cost estimate.
  • Save all survey documents accordingly via the in DocuWare System. 
  • Manage the survey invoice process to ensure invoice is received for billing purposes. 
  1. Send invoice to manager via DocuWare System for billing approval
  • Conduct video surveys using the program Yembo specifically for BVL’s National Accounts 
    1. Follow all required protocols when handling/managing the Yembo process 
  • Debris Pickup Duties: 
  • Contact a Budd Van Lines Service Center or Outside Agent within 24 hours of receiving a debris pickup task from the Coordination Team.
  • Provide all necessary information, (appointment time, pickup location, carton count) and confirmations to required party (i.e. BVL Service Center or Outside Agent) 
  • Manage pending appointments and complete follow ups with the BVL Service Center, Outside Agent and/or Move Coordinator as needed. 
  • Verification of debris pickup appointment within 48 to 72 hours to confirm debris pickup is booked. 
  • Maintain the BES System by doing the following: 
  1. Input pickup date and time details
  2. Update system with the Service Center or Outside Agent information
  3. Update system with any other pertinent information required
  • Manage the Debris Pickup invoice process to ensure invoice is received for billing purposes. 
  1. Send invoice to manager via DocuWare System for billing approval
  • Provide back up to other support members as needed or when assigned by Manager:
  • Backup duties may include but not limited to: 
  1. Certificate of Insurance Request 
  2. Pre-Carton Delivery Request 
  3. Departmental Coverage 
  • Other tasks and special projects as assigned by Management. 

Qualifications and Experience

  • Experience: Moving industry preferred
  • Other: Proven record of exceptional organizational skills, ability to meet tight deadlines, strong ability to multi-task and attention to detail in a fast-paced environment 
  • Training/education: Associates or bachelor’s degree preferred and/or equivalent experience
  • Excellent oral and written communication
  • Computer Skills: Fluent in MS Office and other computer database programs
