Assist Program Director and other senior staff with setting and implementing program goals
Work closely with PD to understand and practice the contractual obligations for the program
Assist PD in preparing reports to funding sources
Attend department meetings as required
Help organize and plan staff trainings
Monitor staff performance, including performing case reviews and structured observations
Submit reports to PD monthly, or more frequently as required
Submit written reports and analysis that accompany data reporting and presentations
Provide quality assurance for case management input and charting in client-based data systems including ETO, CARES, AWARDS, and HMIS
Conduct and participate in program audits
Report to the Program Director and Department Director any issues with client records, including but not limited to, overdue service plans, contact lapses, poor or missing progress notes, and any staff malfeasance.
Work with HRA/DSS to coordinate CARES access and provisioning for staff program
Essential Duties And Responsibilites
Recruit, interview and recommend new hires
Establish and monitor quality assurance of program goals in compliance with agency and contract expectations
Monitor program's contractual compliance and meet with contract manager during site visits
Act as a conduit with funding source
Attend internal and external agency/contract meetings
Attend contract and agency training sessions as provided
Conduct monthly staff meetings or more frequently as required
Supervise and evaluate staff performance, providing monthly written feedback
Complete each staff members' annual performance review
Provide staff training on program goals and duties as well as expectations to the agency
Meet monthly with Program Director for exchange of ideas and written feedback
Submit monthly reports to supervisor and funding source
Perform additional duties as assigned
Program Specific Responsibilities
Monitors participants enrollment and attendance to ensure compliance with DYCD contractual requirements
Monitor program files, participants files and personnel files to meet DOH SACC and DYCD regulations
Maintain and build partnerships with outside agencies to enhance programming
Identify, develop, obtain and organize programmatic and educational themes, resources, materials and curriculum guides for thematic periods
Model and review Counselors lesson plans with a particular focus on literacy, ensuring that activities are age-appropriate, thematic, experiential, educationally sound and engaging.
Hold weekly/monthly individual meetings with Counselors to identify individuals and group educational needs
Conduct formal and informal observations of group activities, lessons and classroom environment on a weekly basis
Create and maintain an educationally enriching environment, and plan events.
Develop enriching trip schedule that is aligned with themes and lessons. Provide Counselors with educational materials and help them develop pre- and post-trip activities
Assist with supervision of children and/or provide coverage as need(on or off-site)
Qualifications
Bachelor’s degree with a minimum of two years program experience
Other experience required including supervisory, administrative and/or contract management
Proficiency in modern business communications including personal computers, electronic mail, voicemail, facsimile, and copier equipment.
Physical Requirements
Ability to use a computer for prolonged periods.
Ability to occasionally lift and/or move up to 10 pounds.
Ability to stand, walk, or sit for long periods of time.
Ability to bend and retrieve objects and/or documents.
Ability to travel in the boroughs of New York City and its adjacent counties via public transportation.
Ability to travel for a minimum of 1 mile within a reasonable amount of time and in all types of weather, including inclement weather, if required to conduct home visits and/or field work.
