Events Coordinator

Job Description

Coordinates and executes Chamber events & programs under the guidance of the VP of Events and Communication. Executes all aspects of the events/programs, including volunteer recruitment and management.

Job Responsibilities:

  • Plan and Coordinate Chamber Events & Programs: Serve as the team leader for the Rooster Days Festival, A Taste of Summer, Annual Banquet, Annual Golf Tournament, Chamber Luncheons, Advocacy Breakfasts, and any event assigned by the executive staff.
  • Responsible for executing all aspects of above referenced events as directed by VP of Events and Communication.
  • Provide necessary and appropriate communication with Chamber staff and volunteers to ensure a successful event and to create a positive experience for event attendees.
  • Serve as a resource for other chamber staff members who produce events in their departments.
  • Evaluate and determine all aspects of events including date/time/location; Negotiate terms of contract for host facility/entertainment and speakers within budget; coordinate needs and staff event appropriately with staff and volunteers.
  • Recruit and supervise volunteers as appropriate
  • Provide administrative support for committees including but not limited to: Rooster Days, Annual Gala, Taste of Summer, Main Street Burn, Small Business Advisory Council, and others as needed.
  • As schedule permits, attend Ribbon Cuttings and other community meetings to digest the needs and concerns of the membership.
  • Serve as a backup for the Office Manager as needed, assist with front desk as needed, including greeting guests and answering phones.
  • Process event registrations and invoicing as needed.

Skills Required

  • Very strong organizational and time management skills
  • Very strong attention to detail and accuracy of work product
  • Strong analytical skills required and desire and ability to improve processes and procedures
  • Excellent verbal and written communication skills and the ability to interact professionally with a diverse group of executives, managers, subject matter experts, operations, and technical staff
  • Able to work independently and within a team environment.
  • Deadline oriented, highly disciplined, multi-task, and can self-manage.
  • Has a passion for making improvements within the community and getting things accomplished
  • Proficient in Microsoft Office programs including Outlook, Excel, and Word
  • Ability to work nights and weekends as events require

Experience Level

· 2-3 years proven event planning or project management success & experience

Education Requirement

  • Associates or Bachelor’s degree in Event Management or experience/degree commensurate with experience level required

  • Employee is regularly required to verbally communicate
  • Specific visions abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, ability to adjust focus
  • Must be able to stand and move intermittently throughout the work day
  • Must possess sight/hearing senses to adequately perform the functions of the job
  • May be required to sit or stand for long periods of time
  • May be required to lift up to twenty-five (25) pounds

Working Conditions/Environmental Exposures

  • Work is normally performed in a climate-controlled office
  • Noise level is moderate and includes sounds of normal office environment
  • No environmental hazards are encountered in performance of normal job duties
  • Position requires some travel outside the state of Oklahoma via car and/or airplane
  • Ability to sit for extended periods may be required

Base Salary and Benefits

  • The position is full-time salaried position, salary depending on experience

Job Type: Full-time

Pay: $35,000.00 - $45,000.00 per year
