Broadmead Inc. is Hiring a Facilities Purchasing and Records Coordinator Near Cockeysville, MD

Main Function:

To monitor the purchases, inventory and regulatory inspections required within the Facility Services Departments to include- maintenance, housekeeping, transportation, campus safety, grounds and community services, . Provides support to the Senior Director and Team Leads within the Facility Departments as it relates to pricing, purchasing, ordering, and stocking needed supplies and equipment, including, but not limited to, the supplies required for the emergency preparedness storage area. Ensures all regulatory inspections and annual training is scheduled, documented and completed timely.

Education and Experience:

  • High school diploma or GED
  • Possess 1-3 years previous office work experience preferred.
  • Must have excellent written & oral communication skills.
  • Able to multitask & work independently.
  • Must have working knowledge of Microsoft Word, Power Point, and Excel.
  • Must have strong organizational skills.
  • Experience with a central supply ordering system preferred.

Job Description:

Essential Duties:

1. Orders supplies as needed. Unpacks supplies and maintains a neat and orderly supply room and emergency supply room. Ensures proper par levels and collaborates with a third-party vendor to maintain appropriate levels of supplies needed for the Facility Services Departments.

2. Communicates with the appropriate members of the Facility Services team and the Senior Director of Facility Services to ensure accurate ordering on a weekly or as needed basis.

3. Uses the ordering and tracking system as selected by Broadmead.

4. Completes required documentation in an accurate and timely manner.

5. Monitors, schedules, coordinates and documents annual refresher training required for all Facility Services team members to include, but not be limited to:

Ladder Safety Roof Safety

Stryker Chair use Wheelchair Securement

EDNA procedures Safety Data sheet use

Emergency valve shut off

6. Monitors, schedules, coordinates and documents required life safety inspections required per State and Federal regulations to include, but not be limited to:

First Aid Program EPP Supplies management

Safety Data Program updates Bed inspections/entrapment inspections monthly

Water temperature readings AED inspections

Eyewash inspections Storm Water tests and inspections

Generator tests Legionella tests

Elopement systems check Annual elevator inspections

Annual/Quarterly Fire inspections Fire door inspections

Fire drills Transformer tests

Cart training/refresher

7. Ensure all large equipment for each department is inventoried and maintained for safety monthly.

8. Responsible for inventory and operation of Emergency Preparedness supplies for Broadmead on a quarterly basis.

9. Acts as Coordinator and Facilities backup and support of all Worx hub related tasks for all departments as needed.

10. Assists Senior Director of Facility Services with the coordination of the move out process for independent living with resident or designated family member.

11. Tracks all duties assigned to Maintenance and Housekeeping staff related to resident transitions.

12. Performs all other duties as assigned, including response during emergency weather or crisis conditions.

13. Accountable for promoting internal customer service.

14. Abide by the organization’s code of conduct in the performance of their duties
