POSITION TITLE: GUIDANCE GENERAL SECRETARY- GREENE HILLS SCHOOL, K-8
DEPARTMENT: SECRETARIAL-CLASS C
REPORTS TO: BUILDING PRINCIPAL
SUMMARY: Perform secretarial duties associated with Grades K-8.
ESSENTIAL DUTIES AND RESPONSIBILITIES: Other duties may be assigned.
- Knowledge of and operation of office machines.
- Maintain office files.
- Assist in the preparation of reports.
- Maintain confidentiality of student and staff records.
- Respond to inquiries from students, staff and the general public.
- Maintain PPT schedule and student IEP records.
- Complete all required correspondence.
- File all student related correspondence
- Update files as required.
- Open and distribute mail.
- Maintain and process student attendance data.
- Record telephone calls from parents.
- Prepare student records and forward as necessary.
- Register and withdraw students as necessary.
- Work with school Guidance Department.
- Maintain student schedule information.
- Verify information dealing with student absences and dismissals.
- Perform receptionist duties.
- Assist in preparation of daily lunch counts, if needed.
- Distribute and collect information concerning student insurance.
- Enter and withdraw students from database.
- Prepare and process mailings to parents.
- Assist the main office and administration as necessary.
- Process requests for supplies and equipment
- Establish bus lists.
- Request data from schools for entering students.
- Help process report cards and interim warnings.
- Maintain bookkeeping ledgers as needed.
- Prepare and send PPT letters.
- Make appropriate announcements over the intercom.
- Perform other duties as required by supervisors.

QUALIFICATION REQUIREMENTS: TO PERFORM THIS JOB SUCCESSFULLY, AN INDIVIDUAL MUST BE ABLE TO PERFORM EACH ESSENTIAL DUTY SATISFACTORILY. EDUCATION AND/OR EXPERIENCE:
High School Diploma or General Education Degree (GED) preferred. Previous office experience desirable.
LANGUAGE SKILLS:
Ability to read and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals. Must have the capability to write routine reports and correspondence. Effectively speak with parents, staff and students.
MATHEMATICAL SKILLS:
Ability to work with mathematical concepts appropriate to the position
COMPUTER SKILLS:
Proficient in Word and Excel along with basic knowledge and experience with job related computer hardware and software applications. Demonstrate ability to operate a personal computer and related software.
REASONING ABILITY:
Applicant must be able to apply common sense understanding to carry out instructions furnished in written or oral form. The ability to handle difficult situations is of importance.
OTHER SKILLS AND ABILITIES:
Establish and maintain effective working relationship with students, staff and the community. The ability to perform duties with awareness of district requirements and Board of Education Policies. Typing and word processing; filing, courteous telephone skill; general office procedures; adaptability; operation of office machines; accuracy; good public relations skills.

While performing the duties of this job, the employee is most frequently required to actively circulate around the facility. The employee is required to work with hands and continuously will repeat the same hand, arm or finger motion many times as in typing or word processing. Specific vision abilities required by this job include close vision, depth perception and the ability to adjust focus.
