Executive Secretary College of Engineering Dean¿s Office

The Engineering Dean¿s Office is looking for a new executive secretary to join our team. As the administrative backbone of the dean¿s office, you will play a crucial role in ensuring the smooth operation of our office, supporting our dean, associate and assistant deans, and staff.

In this role, you will oversee office operations, manage budgets, assist with hiring, and take charge of several college-wide events. As a liaison, you will foster connections between the dean¿s office and other departments and offices on campus, facilitating communication and cooperation.

What you will do in this position:

  • Provide comprehensive support to the Dean and senior staff, managing schedules, and organizing meetings.
  • Supervise and train part-time student secretaries, ensuring efficient office operations.
  • Manage purchasing for the dean's office and college organizations.
  • Coordinate college council and staff meetings, including agenda creation and minute-taking.
  • Serve as a point of contact for visitors, donors, faculty, and staff.
  • Organize college-wide events like the college meetings during University Conference, the receptions at graduation, events for donors, and lunches for faculty and staff trainings.
  • Gather and submit data for national engineering assessments.
  • Assist in accreditation preparation and logistics.


What qualifies you for this role:

Required

  • A firm commitment to the mission of BYU
  • Two-year degree or equivalent office experience
  • One year of office administrative work

Preferred

  • Bachelor¿s degree
  • Experience working in an academic environment
  • 2 years of office administrative work
