Reporting to the Sr. Director, Staffing and Professional Development this position provides support to the Sr. Director and other senior staff of the Operations team at the Brigham & Women’s Hospital Development Office (BDO) in the areas of Human Resources (HR), Operations and Professional Development. Principal Duties And ResponsibilitiesApplicant must have an operations background with a focus in HR and training administration. along with a strong customer service focus and excellent people skills. Must be able to effectively communicate and be a self-starter. Able to project manage and handle multiple projects simultaneously, managing and negotiating deadlines as needed. Regular responsibilities include: Recruiting
Partner with Brigham HR team and Assembly Row Workplace Services on onboarding of new hires.
Conduct candidate phone screens and preliminary candidate interviews for all Associate, Coordinator, and Officer level positions.
Work closely with the hiring manager to develop a candidate recruiting strategy.
Function as the Diversity, Equity, and Inclusion Advocate in the hiring process and represents the department at hiring events including Diversity focused programs.
Onboarding
Own all Operations on-boarding and off-boarding logistics, which includes using proprietary software tools, interfacing with Mass General Brigham (MGB) Workplace Services, as well as tracking and managing key onboarding deadlines.
Create and manage a “Welcome” communication with the candidate early on that includes useful and engaging information before arrival.
Proactively manage the Passport On-Boarding program, including scheduling and collaborating with presenters to ensure current and relevant content is maintained.
Operations/Administration
Act as the Workday administrator for the operations team.
Alongside the Sr. Director, participate in the efficient and effective roll out of Workday scheduled to go live January 1, 2025
Includes all current data updates to be transitioned to Workday.
Provide coaching and training to managers and employees as appropriate.
Produce actionable reports using Workday.
Maintain existing Employee Data Excel Spreadsheets.
Develop systems and processes as needed to simplify work and create efficiencies.
Assist and provide guidance, as appropriate, in HR areas to the full and part-time Administration Associates
Maintain operational systems for office management and personnel moves and related communications.
Maintain and produce Organizational Charts using Visio.
Produce a monthly Dashboard highlighting headcount, hiring, offboarding and training activities.
Own job description and Performance Expectations (PE’s) administration, ensuring annual updated documents are on file, and hire/promotional related documents are current
Organize and maintain confidential HR files i.e., supporting the common annual appraisal program as assigned, including tracking all materials, coordinating results with BWH central HR with the assistance of the Associate, Operations.
Provide lead administrative support for the annual development office Shadow Day.
Professional Development
Working with Sr. Director Staffing and Professional Development support the Professional Development efforts working directly with the People and Organization Development (POD) team, EAP, vendors and MGB contracts team.
Own the training schedule and related activities including training communications, scheduling, attendance tracking and, survey follow-up.
Serve as the Operations expert in developing and managing surveys for training follow ups and other Operations inquiries.
Maintain existing Employee Data Excel Spreadsheets.
Develop systems and processes as needed to simplify work and create efficiencies.
Assist and provide guidance, as appropriate, in HR areas to employees.

Qualifications
BA/BS Degree required; with 2-4 years related operations experience preferably with 1-2 years with an HR focus.
Independent decision-making, good judgment, and ability to implement multiple assignments at any given time, superb organizational and project management skills with meticulous attention to detail
Ability to problem solve and achieve consensus among a group.
Excellent oral and written communications skills with strong proofreading ability
Strong computer literacy with Microsoft Office Products, to include database development and management and mail merge functionality.
Hardworking customer first demeanor and an appreciation for a fast-paced, professional environment
Skills/ Abilities/ Competencies Required
Strong computer literacy with Microsoft Office Products, to include Excel, Word, PowerPoint as well as Adobe Acrobat
Familiarity with My Analytics, Visio, Workday or related products desirable.
Demonstrated project management and organizational skills.
Demonstrated ability to get results that contribute to the long- and short-term goals of the department.
