Brenau University Inc is Hiring a BCCPS Operations Manager - NORCROSS Near Norcross, GA

PRE-EMPLOYMENT SCREENINGS: Brenau University will conduct criminal background checks on all persons being considered for initial employment. In some circumstances, an FBI fingerprint report may be necessary to satisfy the requirement. Once employed, employees must hold and continue to maintain a favorable criminal history background. Random background checks are performed. Credit checks may be performed on candidates/employees who are selected for a position that regularly engages in handling credit cards or other company monies. A Motor Vehicle Report (MVR) may be performed during the hiring process, or as part of a random check. MVR checks are required to meet insurance requirements for those employees operating a university vehicle or participating in any driving activity on behalf of Brenau University, (including operating a golf cart, rented vehicle or one’s personal vehicle). Employees who travel must be at least 21 years of age, have a valid Georgia driver’s license, and good driving record. All employees who operate university vehicles, who are employed in a sensitive position, or who travel regularly as part of their job responsibilities may be subject to post-hire drug screening and random drug-screening. All employees are subject to reasonable suspicion drug screening..

Position Summary: 
As BCCPS Office Manager, this individual will work with the Clinic Director and Assistant Clinic Director on the Norcross campus to provide overall administrative support to managing the BCCPS clinic while the clinic is open at least 3 days per week. This individual will also provide assistant to the Graduate Coordinator and will provide assistance to program initiatives, including assisting with organizing Open Houses and student applicant files and visitations. This person will work in coordination with the LJ Darby School of Psychology & Adolescent Counseling Office Manger to coordinate administrative functions of graduate programs and events between both campuses.

Minimum Qualifications:

  • Excellent writing skills
  • Excellent computer skills (Word, Excel)
  • Excellent office management skills
  • Excellent interpersonal skills, including good telephone manners and ability to work with diverse groups

Preferred Qualifications:
Two years of college classes and some office manager experience or experience in a mental health setting preferred. 

Responsibilities:

  • Position requires working 3 days per week on the Norcross campus.
  • Works under the direction of the Norcross BCCPS director, the BCCPS assistant director, the Clinical Counseling Psychology Graduate Coordinator, and the Lynn J. Darby School of Psychology & Adolescent Counseling Office Manager.
  • Must learn and apply electronic health records system in use by BCCPS.
  • Works with clinic director, assistant director on client-related needs (intakes, scheduling, forms, records, marketing)
  • Under the direction of the clinic directors, manages student clinic coordinators (including hiring, training, and scheduling)
  • Manages and coordinates the BCCPS research study
  • Coordinates ordering of assessment materials and clinic supplies; maintain assessment inventory and check-out procedure; orders general office supplies
  • Works with graduate coordinator to plan and organize Norcross graduate events
  • Helps prepare graduate files of Norcross student applicants to assist the graduate coordinator
  • Manages process for completion of graduate student theses
  • Manages clinic databases and Time2Track, including student and supervisor evaluations
  • Maintains list of resources for student therapists as well as journals and journal requirements for publication
  • Manages School of Psychology Instagram page and other social media and marketing projects as needed
  • Provides support to the School of Psychology faculty and student therapists as time allows
  • Assists with minor accounting duties associated with clinic fees paid by clients
  • Must maintain professional appearance; must be well organized, responsible, and discreet
  • Must provide secretarial services for the School of Psychology and both BCCPS offices including maintaining accurate records and handling routine administrative tasks
  • Must complete tasks in a timely way
  • Must maintain confidentiality and follow HIPAA guidelines
  • Serves as main point person for School of Psychology at the Norcross campus; organizes student interviews and greets guests
  • Assist with professional development and continuing education events as needed.
  • Assists with various marketing projects for the BCCPS including organizing various events (i.e. health fairs) and researching opportunities for more exposure in the north Atlanta area. 
  • Other clinic and office tasks as assigned

Supervisory Responsibilities:No direct supervisory responsibilities required, but may be involved in coordinating schedules of Clinic Coordinators.

Work Hours:
20 hours per week.

Environmental and Working Conditions/ Physical Demands and Aptitudes:Sedentary work. Work is performed in an office environment and requires the ability to operate standard office equipment and keyboards. Prolonged periods sitting at a desk and working on a computer. Must have the ability to walk short distances, and/or drive a vehicle to deliver and pick up materials. Exerting up to 15 pounds of force to lift, carry, push, pull or otherwise move objects. Repetitive motion. Substantial movements (motions) of the wrists, hands, and/or fingers. The worker is required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading.
