Boys' Latin of Philadelphia is Hiring a High School Administrative Assistant Near Philadelphia, PA

High School Administrative Assistant

A full-time, competitively paid position at a first-rate college preparatory school for boys.

Boys’ Latin of Philadelphia seeks a High School Administrative Assistant to support the successful operations of the high school campus in alignment with the school’s mission: preparing boys for success in college and beyond. The assistant will manage the front office, including welcoming and assisting visitors; recording and communicating with parents, faculty, staff, and other stakeholders regarding student attendance; answering incoming phone calls and taking messages; receiving and distributing mail and packages; acquiring and maintaining office equipment and supplies; and other similar responsibilities as needed and assigned. The assistant will report to the High School Principal.

The assistant will perform the following duties:

  • Welcome and assist visitors in compliance with the school’s visitor policy.
  • Answer incoming phone calls in a polite and professional manner and record and distribute accurate messages in a timely manner.
  • Receive mail and packages daily and distribute to the appropriate parties in a timely manner.
  • Acquire, inventory, and maintain front office equipment and supplies.
  • Monitor the arrival and departure of students, recording and updating students’ attendance in the school’s student information system, PowerSchool, and communicating with parents, faculty, staff, and other stakeholders regarding students’ attendance.
  • Provide administrative assistance, such as writing and editing emails and memos, drafting reports and presentations, sending communications on behalf of school leadership, and completing progress report, report card, and other similar schoolwide mailings.
  • Use Microsoft Office (Word, PowerPoint, and Excel), Google for Education (Gmail, Calendar, Docs, Sheets, and Slides), and other similar applications to prepare communications, reports, and presentations.
  • Make copies and file documents as requested and in compliance with school policy and all applicable laws.
  • Support with calendar and meeting management, including scheduling meetings and events, and preparing materials.
  • Support a school environment that is welcoming, academic, joyful, and safe.

  • Excellent organization, prioritization, time management, and verbal and written communication skills with a keen attention to detail.
  • Ability to act as a gatekeeper, treating confidential information with discretion and escalating relevant information as needed.
  • Skilled in the use of standard office equipment, including copiers, telephone systems, fax and stamp machines, among others.
  • Ability to cultivate strong relationships with all members of the school community, including students, parents, faculty and staff members, administrators, and external partners.

Boys’ Latin of Philadelphia prepares boys for success in college and beyond. Founded in 2007 to address the dearth of quality educational opportunities for boys in Philadelphia, Boys’ Latin provides a world-class college preparatory education to 800 students in grades six through 12. As a public charter school there are no admissions requirements and students enroll by randomized lottery.
