POSITION DESCRIPTION

CO-AAP Program Site Coordinator

Reports to CO-AAP Partner Club Director

Supervises Program Staff Members, Volunteers, Youth Staff $40,000 - 45,000 annually non-exempt

School Year- M-Th 11:30 a.m.-7:30 p.m. Fridays and Summer: M-F 9:30 a.m.-6 p.m. *

*includes 30 min lunch break/some evenings and weekends

PRIMARY FUNCTION:

Coordinators/manages overall daily operations of the designated CO-AAP program out-of-school site with the primary concern for programs and service delivery, supervision of staff, facilities management, community relations and membership administration. This encompasses planning, coordinating, implementing and supervising Club program personnel. Certain administrative duties also fall within the School Site Coordinator responsibilities.

KEY ROLES (Essential Job Responsibilities):

Leadership

  • Forge strong ties with the school principal, administrators, teachers, and staff by attending faculty meetings, school events, trainings, and consistently maintaining professional interactions.
  • Maintain a presence during the school day to establish a strong link between the school day and out-of-school time; connect the school day to out-of-school activities by maintaining consistency in daily procedures and a continuous level of communication that serves to identify and address the academic needs of program participants.
  • Attend school faculty meetings and trainings as scheduled and possible given direct service schedule.
  • Responsible for vital paperwork being completed i.e. attendance, incident reports, new employee paperwork, etc.
  • Understands and assures the implementation of organizational policies, procedures, and goals while maintaining a safe, positive environment necessary for youth development.
  • Ensuring the curriculums are being utilized effectively, review lesson plans, coach staff and volunteers to be effect.

Prepare Youth for Success

  • Plan and oversee the administration of designated programs and activities that support youth academic outcomes specifically STEM and math.
  • Establish program objectives consistent with organizational mission.
  • Oversee the provision of day-to-day program activities in accordance with established standards and goals.
  • Coordinate regularly with school administrators, faculty, and staff to ensure program effectiveness and alignment with school priorities and activities.
  • Ensure that members are encouraged to participate in a variety of program

areas/activities and receive instruction and constructive feedback to develop skills in program area(s).

  • Demonstrate leadership to assure proper conduct, safety and development of members.

Program Development and Implementation

  • Effectively implement and administer programs, services, and activities for drop-in members and visitors.
  • Monitor and evaluate programs, services and activities to ensure safety of members, quality in programs, and appearance of the Club at all times.
  • Maintain proper records for program planning and reflection, evaluation, daily attendance, membership registration, and program participation weekly or as required.
  • Plan, develop, coordinate and implement various programs using resources from BGCA and outside sources that will be positive experiences for members.

Strategic Planning

  • With the CO-AAP Program director, plan, develop, implement, and evaluate Clubhouse's overall programs, services and activities to ensure they meet stated objectives and member needs and interests.
  • Compile regular reports reflecting all activities, attendance, and participation.
  • Work with the CO-AAP program director in planning and developing overall objectives and work plans for program operations to meet goals. Periodically review progress and make revisions as needed. With the committee and staff members, develop plans for carrying out activities to meet those objectives.

Resource Management and Supervision

With the CO-AAP Program Director, control expenditures against budget.

  • Ensure administrative and operational systems are in place to maintain the operation of the physical properties and equipment of the Club, including use of facilities by outside groups.
  • Maintain quality out-of-school time program requirements and standards. Use standards in all aspects of facility management, staffing considerations and program implementation.
  • Oversee care of facility and equipment. Maintain building and equipment. Keep adequate supplies. Submit requisitions to CO-AAP for approval.
  • Purchase supplies as needed. Encourage staff and members to use equipment and supplies properly. Develop safety programs and incorporates overall operations.
  • In cooperation with the CO-AAP program director, assign, train, and supervise staff and program volunteers. Conduct evaluative conferences.
  • Confer regularly with the BGCPC leadership team. Keep them informed of problems, concerns, needs, trends and unusual circumstances within a timely and regular manner.
  • Recruit, manage and provide career development opportunities for staff and volunteers.
  • Conduct regular staff meetings. Participate in all staff meetings.
  • Recruit, assign, and supervise volunteers, program assistants and/or youth to programs and special events.
  • Participate in periodic assessment of own performance and develop own goals and objectives with CO-AAP program director.
  • Attend trainings and other developmental/professional growth opportunities as time and resources allow.

Partnership Development

  • Develop partnerships with parents, school leaders, community leaders and organizations.
  • Establish and maintain parent advisory committee.

Marketing and Public Relations

Develop and maintain public relations to increase the visibility of programs, services and activities within the Club and the community.

Additional Responsibilities:

  • Purchase or approve purchase of supplies and equipment.
  • Work with staff on special events to carry out programs in all departments.
  • Exercise authority in problems relating to members; utilize guidance and discipline plan.
  • May be required to drive Club van.
  • Handle money, receipts and deposits.
  • Assume other duties as assigned.

Relationships:

  • Internal: Maintain close, daily contact with Club professional staff to interpret and explain organizational mission, program objectives and standards, discuss issues, and provide/receive information. Maintain close contact with other CO-AAP Program Director, Chief Operations Officer, and President/CEO. Has regular contact with members as needed to discipline, advice, and counsel.
  • External: Maintain contact with external community groups, specifically Heroes Academy staff, representatives, and students, members' parents and others to assist in resolving problems and to publicize Club programs.

Skill/Knowledge Required:

  • Bachelor's Degree with courses in education, science, recreation, psychology, sociology preferred. Special consideration may be given for equivalent experience and personal qualifications in lieu of degree.
  • A minimum of two years' work experience in a Boys & Girls Club, school, or similar out of school time organizations planning and supervising activities based on the developmental needs of young people, or equivalent experience.
  • Demonstrated ability in personnel supervision and facilities management.
  • Strong communication skills, both oral and written.
  • Ability to recruit, train, supervise, and motivate staff.
  • Ability to deal effectively with members including discipline problems.
  • Working knowledge of budget preparation, control, and management.
  • Skills in fund-raising events and initiatives.
  • Demonstrated ability in working with young people, parents and community leaders.
  • Ability to organize and supervise members in a safe environment.
  • Commitment to equity issues.
  • Willingness to work in multicultural settings.
  • Mandatory CPR and First Aid Certifications.
  • Mandatory Medication Administration Certification.
  • Valid State Driver's License with little or no violations.
  • Must pre-employment and pass random drug testing.
  • Pass Background Screening

PHYSICAL REQUIREMENTS/WORK ENVIRONMENT:

The successful candidate must be able to use a variety of office/janitorial equipment including computer, telephone, and / or other equipment. S/he may be required to lift supplies, materials, and collateral materials weighing up to 50 pounds. S/he will be required to be on their feet the majority of the day.
