Boys & Girls Clubs - Alaska is Hiring a Site coordinator Near Anchorage, AK

SUMMARY : The Site Coordinator, with oversight from the Athletics Director and in coordination with the Athletics Coordinators, is responsible for managing sites which may include the following : Open set up, close, monitor games;

make decisions and solve on-site problems in regard to schedule changes, player eligibility, and player / parent / coach conduct along with ensuring that owned & rented facilities are used according to rules & maintained in good condition.

Additionally, the Site Coordinator will be responsible for monitoring the performance of and recognition of volunteers in accordance with Boys & Girls Clubs policies and procedures along with providing all necessary training and communication to volunteers & contract personnel.

This may also include recruiting and assigning volunteers, ensuring proper placement of player allocations, and addressing parent, player, and coach feedback in a timely manner.

The Site Coordinator is a position with minimal oversight.

ESSENTIAL JOB RESPONSIBILITIES

  • Manage site coordination : Open, set up, close, monitor games; make decisions and solve on-site problems in regard to schedule changes, player eligibility, and player / parent / coach conduct
  • Assure that owned & rented facilities are used according to rules & maintained in good condition
  • Ensure that policies and procedures are followed in reviewing, securing, and scheduling facilities for practices, games, clinics, and tournaments
  • In cooperation with Athletics Department Staff and Technical Advisory Boards, assist in planning and implementing player allocations and coaching assignments to teams
  • Recruit, screen, select, monitor performance of and recognize volunteers in accordance with Boys & Girls Clubs policies and procedures
  • Provide all necessary training and communication to volunteers & contract personnel
  • Schedule & oversee the maintenance, return, storage, & inventory of uniforms / equipment / supplies
  • Provide all necessary equipment to volunteers, and assure timely return of equipment
  • Oversee the distribution of player awards and coaches' gifts
  • Act as point-of-contact in coordinating team and player photo events
  • Manage the distribution of sponsors plaques and other means of sponsor recognition
  • Build Boys & Girls Clubs - Alaska brand awareness through outreach programs and promotions

OPERATIONAL DUTIES AND RESPONSIBILITIES :

  • Observe BGC policies and procedures for recording and reporting incidents, at-risk youth, and suspected child abuse
  • During each sport seasons, work hours which may include presence at athletic venues
  • Provide responsive, professional customer service by answering inquiries from players, guardians, coaches, and others in a timely manner
  • Maintain security of confidential membership and volunteer records per Boys & Girls Club policies & procedures
  • Ensure professional ethics and rules of conduct are followed
  • Provide front counter customer service as needed
  • Participate in facility emergency response team as necessary
  • Assure secure opening & closing of Athletics / Clubhouse facility as necessary
  • Participate in clubhouse special events / outreach activities as needed
  • Assist with clubhouse facility upkeep as needed / requested
  • May assist as backup for clubhouse instructors in case of emergency or staff shortage
  • Perform other duties as assigned

Requirements

PREFERRED REQUIREMENTS

  • Experience in coordinating youth sports and events is preferred
  • Volunteer coordination experience highly desired
  • Computer skills with basic MS Office (Excel, Word, Outlook) and database experience
  • Ability to obtain CPR / First Aid certification within 6 months of hire
  • Valid Alaska drivers' license; good driving record; and insured, reliable vehicle
  • Must be able to pass criminal records and fingerprint background check

PHYSICAL DEMANDS

  • While performing the duties of this job, the employee is required to walk, sit, stand, utilize fine and gross motor manipulation, and climbing ramps, stairs and / or into planes.

WORK ENVIRONMENT

Primarily a normal internal work environment. Performing the duties of this job may include activities hosted outdoors in various weather conditions.

Noise levels for activities in the Club environment may be loud.

  • The position will include regular local travel to Clubs in the Anchorage and other designation sporting venues.
  • Work during evenings and weekends will occasionally be required, given the nature of the position and its connection with community partners.
