Position: Operations Associate 

Department: Administration

Location: 1561 Bedford Ave, Brooklyn, NY 11225

Schedule: Part-time

FLSA Status: Part-Time, Non-Exempt

Salary: $16/hr.

Summary of Position

The Operations Associate will report directly to the Armory Director, and will provide support to members of the Operations Department to ensure that the administrative functions of the department are met. The ideal candidate is positive, detail-oriented team player who can work independently, multi-task in a fast-paced environment, display good judgment, manage confidential material, and show initiative. 

Major Duties and Responsibilities

  • Provide administrative support to the Armory Director and members of the Operations Department. 
  • Manage team calendar, and schedule meetings and conference calls with staff and external entities.
  • Assist with job posting and new hire onboarding, and ensure staff files are complete, and documents are appropriately scanned and filed.
  • Track major projects and deadlines, and manage critical project documents. 
  • Create and maintain operations templates, and prepare correspondence, reports, presentations, or other information for distribution. 
  • Revise, edit, and create documents in Microsoft Word, Excel, Outlook and PowerPoint.
  • Proofread and format documents and correspondence. 
  • Manage staff identification cards, attendance and vehicle use.
  • Track organizational leases, and manage rental agreements and reporting.
  • Collate policy and compliance updates for year-end distribution, and track staff receipt logs.
  • Assist with special projects and initiatives, and other duties as assigned.

Education and/or Experience

Bachelor’s degree and a minimum of 1-2 years of work experience as an administrative assistant or a related field; advanced computer skills to include Microsoft Office; the ability to compose and edit grammatically correct correspondence; and, a willingness to learn other skills as necessary.

Knowledge, Skills and Abilities

Administrative Activities, Administration and Business Management, Written and Oral Communication, and Organizing, Planning and Prioritizing Work. Confidentiality and Reliability is a must. The Operations Associate must work well under pressure, be consistently accurate, and communicate well with all levels of management and staff. They must have the ability to work with minimal supervision and handle multiple, competing priorities in an effective manner.

Job Requirements

BCNY is a COVID-19 proactive organization that follows applicable health and safety regulations to help protect our members and staff.
