Boylston Staffing is looking for an Administrative Assistant for a Legal Firm in Chestnut Hill. Will perform diversified clerical duties and provide organizational support to the legal, quality assurance, client acquisition, accounting, business development and marketing departments. The position requires a cooperative and constructive work effort both within and outside the Legal and Operations departments. Primary Responsibilities: Compliance Responsibilities
Support the Managing Attorney.
Manage execution of advertisement filings with State Bars and maintain individual state requirements in order to ensure compliance, including compiling necessary documents for filing, maintaining records of filings, correspondence, and guidance from State Bar Counsel.
Assist with Partner Network management.
Administrative Responsibilities:
Responsible for the administration of case legal documents, both hard copy and digital.
Inputs status updates for intakes and cases and verifies appropriate legal documentation.
Creates and maintains digital client case files.
Proofs and verifies that legal documentation properly corresponds with information within the company database.
Assists the Quality Assurance Managers by running database lists for distribution to co-counsel and partners, and updates database accordingly based on co-counsel response
Assists the Mesothelioma Practice Operations manager by updating weekly and monthly reporting and completing various administrative tasks including data entry and research
Assists with the firm's outgoing and incoming mail.
Provides organizational support.
Other Functions:
Completes special projects from various team members, departments and managers.
Contributes in training new employees.
Qualifications:
Bachelor's degree or minimum two (2) years' experience working in an administrative role.
Excellent organizational skills, attention to detail, and ability to prioritize daily tasks efficiently from multiple staff members.
Ability to communicate effectively, both orally and in writing.
Ability to maintain confidentiality.
Ability to work as part of a team and individually.
Ability to work in a fast paced environment and multitask
Proficiency in Word, Excel, Outlook and/or ability to quickly learn new programs.
The approved salary is $40k (depending upon experience).
