Bowling Green City Schools is Hiring an EMIS Specialist Near Bowling Green, OH

We are seeking a District-Wide EMIS coordinator/specialist. This individual will work with and coordinate between the various buildings, the curriculum department and the special education department to ensure accuracy of all reporting data to meet state and federal requirements. The successful candidate must possess exceptional attention for detail as the reported data is crucial for our state funding.

Full-time - 253 days per year 

Paid Holidays (11/year).

Paid sick leave (1 1/4 per days month-15 days per year); carry over year to year.

Paid Personal Leave (3 days per year) - converts to paid sick leave if unused each year.

Paid Vacation - 10 days after One (1) year of service, 15 days after seven (7) years and so on.

Health, Vision, Dental and Life Insurance offered. (Waiver incentive paid if Medical is waived).

Annual Salary dependent upon experience.

Position will be open mid to late June 2024.

BOWLING GREEN CITY SCHOOLS JOB DESCRIPTION

Title: EMIS SPECIALIST

Reports to: Superintendent

Job Objectives: Maintains the district’s student information system (SIS) and educational management information (EMIS) systems.

Minimum Qualifications:

  • High school diploma or GED. Post-secondary training is desirable.
  • Meets all mandated health requirements.
  • Documented evidence of a clear criminal record.
  • Congenial telephone etiquette.
  • Proficient in office protocol and the use of business equipment.
  • Excellent skills in the use of office and management information software and EXCEL.
  • Excellent skills in data entry, spelling, proofreading, and the correct use of grammar.
  • Ability to apply advanced mathematical concepts with excellent attention to detail.
  • Multitasking ability and strong interpersonal skills.

Responsibilities and Essential Functions: 

The following duties are representative of performance expectations. A reasonable accommodation may be made to enable a qualified individual with a disability to perform essential functions.

  • Performs clerical duties. Organizes and maintains a functional filing system that ensures the safe retention of office records. Keeps materials properly filed to maintain an orderly office.
  • Upholds board policies and follows administrative procedures.
  • Promotes a favorable image of the school district.
  • Helps train or arrange for SIS training of other support staff as needed.
  • Helps resolve data problems encountered by staff. 
  • Provides assistance to other departments as needed.
  • Serves as the district’s liaison to the ITC.
  • Monitors changes in the regulations that govern the manner in which data is collected, recorded, and reported.
  • Attends area and state meetings and training programs to keep current with software modifications. Distributes updated information.
  • Coordinates collection and data entry processes.
  • Validates data, corrects errors, reports (to ODE), maintains all required student records (e.g., student demographics, academic courses, co-curricular/extra-curricular programs, testing data, fees, Title I, subsidized lunch programs, open enrollment, court placements, etc.).
  • Helps the treasurer’s office with the reporting of staff data.
  • Reads, studies, and applies Ohio Revised Code regarding school enrollment, tuition, and child custody rules/laws to enrollment practices and EMIS reporting.
  • Helps research, plan, and develop special reports. Interprets data and other statistical information. Provides perspective regarding emerging trends.
  • Uploads preparatory data to testing websites; some maintenance to same websites; downloads test results for data upload to SIS.
  • Oversees K-5 student enrollment. Enters data into SIS for all new K-5 students.
  • Participates in staff meetings and professional growth activities as directed.
  • Accepts responsibility for personal decisions and conduct. Strives to develop rapport and serve as a positive role model for others.
  • Takes precautions to ensure student safety. Reports unauthorized persons or suspicious circumstances immediately.
  • Reports evidence of suspected child abuse as required by law.
  • Keeps current with advances in office technology.

  • Ability to pull data out of database in one format and create it in another format, according to end-user specifications
  • Strong communications skills.
  • Must be skilled at initiating communication with BGCS staff, ITC personnel, ODE personnel, other EMIS and non-EMIS reporting agencies in Ohio.
  • Ability to communicate EMIS changes and data best practices with all levels of staff within the district in a timely, proactive, and professional manner.
  • Skilled at troubleshooting problems the district SIS users are having in SIS; knowing when to refer to the ITC for further help.
  • Travels to meetings and work assignments.
  • Operates office equipment efficiently and accurately.
  • Lifts, carries, and/or moves office supplies and equipment.
  • Maintains an acceptable attendance record and is punctual.

  • Potential for exposure to blood borne pathogens and communicable diseases.
  • Potential for interaction with disruptive and/or unruly individuals.
  • Exposure to adverse weather conditions and seasonal temperature extremes.
  • Duties may require operating and/or riding in a vehicle.
  • Duties may require prolonged use of a computer keyboard and monitor.
  • Duties may require detailed paperwork.
  • Duties may require working under time constraints to meet deadlines.
