Job DescriptionThe Assistant Director, Finance andOperations for the Institute for Advanced Jesuit Studies acts as the primarydepartment liaison with internal and external constituencies and facilitatesthe delivery of the various programs of the Institute. Utilizing PeopleSoft,Big Commerce, and other software, s/he is responsible for implementing thefiscal activities for the organization, including budget tracking andreporting, accounting and financial reporting, accounts payable, procurement,internal and external vendor relations, HR interactions, and timesubmittal. S/he is responsible for much of the operational worksupporting the Institute, such as office management, order fulfillment, supplymaintenance, space request, and event support.
Reporting to the Associate Directorof the Institute, the Assistant Director receives guidance and support from theAssociate Director, utilizing templates and procedures created by the AssociateDirector in order to better facilitate the operations of the Institute. Forexample, the Assistant Director contributes to Jesuit Sources by monitoringpublication inventory, order management systems, and all order fulfillmentprocesses—including online, phone, walk-in, and international sales. The AssistantDirector will supervise the work of five Institute graduate students and fourto five undergraduate work study students.
The Assistant Director coordinatesthe administrative needs of Institute Fellows. Other responsibilities includeassisting in the preparation of budgets for each department, along withpreparing for monthly reviews of the budgets for each department; executingefficient processes for payments of bills; inputting financials, budgetstransfers, processing journal entries, reconciling bank accounts and processingof revenue, donations, etc. providing support in the areas of fiscal planningand analysis, review of operational processes, analysis and reconciliation ofsales and other fiscal transactions; and coordinating communications andcalendars/schedules.
Occasional evening and weekend workmay be involved for event support or to meet responsibilities of the position.
Full-Time Equivalent Hiring Range: $53,950 to $67,450; salary commensurate with relevant experience.RequirementsBachelor’s degree required
Minimum of 3 years of experience infinance and/or operations, with supervisory experience and a preference forthose who have managed an office or operation.
Experience in publishing,libraries, HR, sales, customer service, and with the Catholic Church/Society ofJesus, is a major benefit.
Experience with ERPsystems/financial applications, preferably PeopleSoft Financials and HR
