Job Title: Title Clerk

Location: Bomnin Automotive - Centralized Accounting Department

Reports To: Controller, CFO

Job Status: Full-Time, Non-Exempt

Department: Accounting

Job Summary:

The Title Clerk at Bomnin Automotive's Centralized Accounting Department is responsible for processing and managing vehicle titles for new vehicles, used vehicles (UV), and wholesale transactions, including out-of-state transactions. This position plays a crucial role in ensuring accurate and timely title processing, which is essential for legal and financial compliance. The Title Clerk works closely with the controller, CFO, and other dealership departments to facilitate efficient title transfers, maintain organized title records, and perform various administrative tasks as needed.

Key Responsibilities:

Title Processing:

  • Receive and review vehicle titles for completeness and accuracy.
  • Process all auction paperwork for vehicles sold that week for three stores, approximately 160-200 deals per month.
  • Prepare and submit title documents to the appropriate state agencies, including out-of-state agencies.
  • Ensure that all required documentation and fees are submitted correctly.
  • Track the status of title applications and resolve any issues or discrepancies.
  • Process title transfers for new vehicle sales, used vehicle sales, and wholesale transactions, including out-of-state transactions.
  • Maintain organized and up-to-date title records for all dealership transactions.
  • Order new vehicle tags and issue tag refund checks as needed.

Compliance:

  • Stay current on state-specific title regulations and requirements, including out-of-state regulations.
  • Ensure compliance with state and federal regulations related to vehicle titles.
  • Address any title-related compliance issues promptly.

Customer Service:

  • Provide excellent customer service by addressing customer inquiries related to vehicle titles.
  • Assist customers and dealership personnel in resolving title-related issues.
  • Collaborate with sales and finance teams to facilitate smooth title processing for customers.

Office Support:

  • Assist the controller and CFO with various administrative tasks, including ordering tags.
  • Participate in cross-training for other office-related roles as necessary.
  • Maintain the confidentiality and security of sensitive title documents.

Requirements:

  • High school diploma or equivalent; Associate's degree or relevant certification preferred.
  • Previous experience as a Title Clerk in an automotive dealership is a plus.
  • Familiarity with state-specific title regulations and requirements, including out-of-state transactions.
  • Strong attention to detail and accuracy.
  • Excellent organizational and time management skills.
  • Effective communication and interpersonal abilities.
  • Ability to work well independently and as part of a team.
  • Willingness to take a skills evaluation assessment.

Physical Demands:

  • Ability to work in an office environment.

Work Environment:

  • Primarily works in an office setting within the Centralized Accounting Department.
  • Occasionally walks through the fixed operations department, which may be exposed to various weather conditions.
