Job Title: Practice Coordinator

Reports To: President, Bolton Retirement

FLSA Status: Exempt

Summary:

The Practice Coordinator plays a pivotal role in providing comprehensive support to Bolton’s Retirement practice. This position requires meticulous attention to detail, exceptional organizational skills, a steadfast commitment to meeting deadlines, and the ability to navigate both routine and complex tasks with precision.


Essential Duties and Responsibilities:

The following list of duties and responsibilities are examples of the work successful candidates will be asked to perform. Candidates may not be involved with all functions as a regular part of their duties.

  • Prepare analytical reports summarizing data for management decision-making using Microsoft Office tools.
  • Draft and edit correspondence for internal and client communication, ensuring clarity and professionalism.
  • Coordinate the practice's involvement in corporate initiatives, serving as a central point of contact for seamless collaboration.
  • Act as a key liaison to ensure smooth preparation for meetings and events, facilitating efficient communication and logistics.
  • Assist the President of Bolton Retirement with tracking and maintaining the practice budget to optimize efficiency and resource allocation.
  • Contribute to the production of client proposals, ensuring accuracy and alignment with client needs.
  • Assist the administrative team with call center set up and support
  • Solve quantitative and qualitative problems to support Retirement practice leadership, employing analytical thinking and sound judgment.
  • Identify and recommend emerging technologies or processes for continuous improvement.
  • Anticipate and address needs and issues within the practice, proactively seeking solutions to enhance operational effectiveness.
  • Assist team members in prioritizing tasks and decision-making, fostering a collaborative and results-driven culture.
  • Participate in special projects as required, demonstrating flexibility and adaptability to evolving priorities.
  • Support the President of Bolton Retirement as well as the Retirement Growth, Talent and Technical leaders in meeting preparation, establishing practice initiatives, and enforcing policies and procedures to uphold organizational standards.
  • Support about one-third to one-half of the practice in the billing process
  • Provide operational support to the practice, ensuring seamless execution of day-to-day activities.
  • Prepare client reports and presentations using Microsoft Office tools, adhering to professional standards and guidelines.
  • Manage large scale participant mailings
  • Plan meetings, including agenda preparation and meticulous action item tracking, to ensure efficient use of time and resources.
  • Manage complex calendars and scheduling obstacles with professionalism and efficiency.


Other Duties and Responsibilities:

  • Comply with all safety policies, practices, and procedures. Report all unsafe activities to supervisor and/or Human Resources.
  • Participate in proactive team efforts to achieve departmental and company goals.
  • Perform other duties as assigned.

Education/Experience:

Bachelor's degree and at least 3 years of related experience and/or training; or equivalent combination of education and experience.
