Floral Manager

The Floral Manager is responsible for overseeing and managing the floral department’s operations and budgetary objectives while ensuring overall client satisfaction. The Floral Manager role also includes managing and oversight of extensive ordering, vendor communications, and inventory management. The Floral Manager negotiates and selects all perishable floral vendors local and worldwide to source the best product and the best pricing. This position plays an integral part in the financial processes and profitability in the company. The Floral Manager is expected to act as a role model and ambassador for Bold Design’s employees, investors and partners, by working in accordance with the values, purpose, and mission of Fifth Group Restaurants. This position will report to the General Manager and will manage the floral design team.
Floral Design
  • Supervise and ensure accuracy of production of floral arrangements for events, displays, special catering orders, prototypes, etc. as outlined in client contracts
  • Order all floral & non-floral products for the department using sourcing and pre-approved vendors.
  • Place orders and communicate changes and additions with the vendors in a timely and efficient manner
  • Maintain a safe, clean, and organized work environment
  • Keep up with floral industry trends, technology, and updates
  • Understand and produce designers’ proposals in all floral mechanics and logistics
  • Maintain the freshest, highest quality flowers throughout the department; understanding the perishable nature of the product and reacts with a sense of urgency to minimize waste, promote sales, and create ways to best utilize product
  • Maintain the overall appearance of floral product to ensure that arrangements are innovatively designed in a variety of sizes, styles and price ranges; and products are well-merchandised to showcase quality
Operations/Management
  • Work with sales managers to make floral suggestions and recommendations
  • Advise and consult with sales managers to determine pricing of floral arrangements
  • Meet with Sales and Operations to receive all event information (turnovers)
  • Maintain open lines of communication with team members and management to ensure smooth department operations
  • As needed, work as event owner to ensure events are well executed
  • Manage day of staff performance and supervises all load in and resolves any strike issues
  • Assigns floral leads to events based on the floral manager’s experience with client wishes and designer abilities
  • Understand and comfortably navigate Caterease and Nowsta Staffing
  • Manage all aspects of marketing orders and promo events
  • Manage re-cons for any floral orders not provided via a sales manager
  • Manage the input of newly purchased inventory into Caterease
  • Work in conjunction with other department managers to determine when sales needs to block weekends based on capacity to deliver events
  • Set up all vendor accounts used including requesting tax exempt status and managing and controlling passwords for protection
  • Occasionally attend site visits to ensure vision of sales designer can be delivered mechanically and aesthetically by the design staff
  • Relay to Director of Sales when events have been improperly priced and department is unable to deliver product based on company preset budgets.
  • Monitor event profitability as it evolves to insure budgets are being followed
  • Helps to set and breakdown promotional events as needed
  • Assigns tasks and responsibilities to the Assistant Floral Manager as necessary
Human Resources/Staffing
  • Responsible for scheduling production and execution staff for the floral department within budget
  • Write and maintain a weekly schedule for staff
  • Ensure scheduled labor for the department is within budget
  • Send confirmed payroll hours to Business Manager on a weekly basis
  • Conduct annual employee reviews and 90 day reviews for any new hires in the floral department
  • Hire contract and part-time employees, anticipates securing skilled labor at peak season time
  • Manage low season schedule
  • Ability to hire, train, mentor, and lead the floral team
  • Assist floral staff when HR/ Payroll questions arise and be able to advise them on where in the company to find answers and the appropriate websites to find information
  • Oversees hours and schedule of Assistant Floral Manager within company objectives
  • Report in conjunction with Operations, and with the General Manager any reporting and documentation for floral workman’s compensation claims that arise
Financials
  • Responsible for meeting all labor and supply budgets
  • Partner with Sales Managers to make sure items are sold at gross profit targets
  • Proactively maximize the use of all product to create innovative floral arrangements and displays
  • Demonstrate a solid good understanding of how to read and understand the P&L reports
  • Negotiate assertively and proactively with vendors to get the best pricing available
  • Accurately forecast needs and adjust orders to ensure an adequate supply of product to meet clients’ needs
  • Utilize waste and extra product to create innovative floral arrangements and displays to drive sales and reduce the amount of waste in the department.
  • Stay within budget for FOH supplies for the department
  • Close communication with Business Manager on all purchased items from vendors that are Bulk purchases for the department to insure proper P&L distribution
  • Responsible for coding all floral purchases/invoices for accounting department; audits general ledger for accuracy
  • Enter floral expenses for promotional event, prototypes, and FOH supplies into P&L
  • Ensure accurate discounts and credits are accounted for in each Event P&L
  • Review period and event recaps with Business Manager to ensure accuracy
