POSITION SUMMARY: The File Management Coordinator is instrumental in ensuring file integrity during the archiving of production files and distribution of digital assets to various departments and vendors. This critical role involves meticulous file organization, implementing modifications and corrections, and serving as a key liaison for efficient communication and collaboration across departments. The coordinator will contribute to maintaining the highest standards in file management, supporting quality assurance initiatives, and ensuring the accuracy during the alteration and distribution of files.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

  • Maintain an organized archive system for production files.
  • Implement best practices for systematic file storage, version control, and naming conventions.
  • Review and implement requested modifications to production files, ensuring accuracy.
  • Collaborate with stakeholders for corrections during the reprint process.
  • Coordinate the timely distribution of approved files to vendors, departments, and internal teams.
  • Respond promptly to file requests, ensuring secure and accurate delivery.
  • Collaborate with stakeholders to understand specific distribution requirements.
  • Serve as a point of contact for file-related inquiries and requests.
  • Foster effective communication with various departments and vendors.
  • Collaborate with production teams to ensure seamless transitions from production to file distribution.
  • Conduct thorough quality checks on files to uphold production standards.
  • Implement measures to prevent errors and discrepancies in file management processes

REQUIRED KNOWLEDGE, SKILLS AND ABILITIES:

  • Proven expertise in file management, preferably within a production or publishing environment.
  • Exceptional organizational skills with keen attention to detail.
  • Strong communication and problem-solving abilities.
  • Adaptability to evolving technologies and quick to learn new software tools.
  • Excels in multitasking, collaboration, and managing deadlines effectively.
  • Exhibits technical proficiency and problem-resolution skills
