Position Summary:

BNI is looking for a Global Sponsorships & Events Coordinator to join its Global Events team. This position is responsible for supporting the sales and execution of sponsorship and exhibitor packages at BNI Global Events. This role will report to the Global Events Director, and will support the Sponsorships Manager to grow exhibits and sponsorships. This role must provide excellent customer service while driving sales through event revenue opportunities. As part of a dynamic team, this position supports the sales and execution of revenue goals to grow global events. This role requires attention to detail, organization and the ability to execute promises made to partners. The candidate will serve as an important ambassador and representative of BNI and will be expected to collaborate with internal stakeholders to identify business development opportunities that lead to long-standing partnerships.

About the role:

  • In consultation with Director, Global Events and Manager, Sponsorships, set and achieve revenue goals for BNI Global Events sponsorship and exhibit sales.
  • Manage marketing asset collection, including securing high-resolution logos for sponsor recognition (website/booklet)
  • Create and customize sponsor and exhibit packages 
  • Manage Invoices and other administration for all exhibitors and sponsors
  • Act as main point of contact for exhibitors during the convention
  • Create promotional materials such as a prospectus, sales website/platform, and media kit. 
  • Maintain and update current sales opportunities on BNI Event webpages
  • Manage reports and prospect development 
  • Serve as first point of contact for inbound inquiries related to exhibits, sponsorships and revenue generating opportunities for global events.
  • Create and maintain impeccable customer relationships, including identifying customer needs and responding creatively, listening to information, asking questions, and applying knowledge to determine solutions. 
  • Handle customer service inquiries and execution of benefits in the agreement, welcome letters, deadline reminders, forms collection, invoicing and payment collection, etc., ensuring excellent customer service, quality control, and consistency of experience, including management email inboxes and WhatsApp groups. 
  • Maintain accurate records and sales activity 
  • Manage the exhibit show process and floor plan development, exhibit operations, vendor relationships, service kit development, registration, VIP management, and selection and testing of an exhibit sales platform. 
  • Prepare post-event and year-end reports detailing results and achievement of established exhibit and sponsorship revenue goals. Communicate overall results through regular dashboards. 
  • Maintain working knowledge of current sponsorship and exhibit sales trends for events. Work with appropriate staff to evaluate current offerings, ensuring continual improvement and quality customer service.
  • Manage and assign floor plan 
  • Manage the exhibition production and timeline
  • Create and communicate show specs for electrical, audio visual and tradeshow F&B through various vendors
  • Review and reconcile vendor invoices; tracking and collecting accounts receivable
  • Manage/Oversee client tradeshow management services and logistics
  • Provide tradeshow support (for example, shipping management of assets and supplies, internal communication support with team supporting each tradeshow, monitoring tradeshow communications and deadlines, booth planning and management)
  • Provide execution support for global events as needed.

Education, Knowledge, Skills & Experience:

  • Some experiences in conferences and events, administration, marketing or operations
  • Exceptional verbal and written communications skills; a succinct, articulate, communicator.
  • Undergraduate degree in a relevant discipline; or equivalent work experience.
