Position Description Summary

The Controller uses an in-depth understanding of accounting principles in exercising regular use of discretion and independent judgment to perform complex accounting transactions and financial analyses. As the primary backup for the Chief Financial & Administrative Officer, s/he must be highly detailed-oriented, organized with superior analytical and problem-solving skills, and be able to work both independently and collaboratively meeting a constant stream of deadlines.

Key Responsibilities

  • Manages the monthly close including preparing and/or reviewing bank, investment, and all other monthly account reconciliations.
  • Reviews and prepares journal entries as well as researches and resolves accounting or documentation issues and discrepancies. Prepares adjusting and correcting journal entries as needed, to ensure coding is accurate and proper support is well-meaning, descriptive, and organized.
  • Aids in the preparation of the annual and five-year budgets. Prepares monthly financial and budget reports to department heads and other budget managers, assisting them in resource management and Identifying opportunities for cost savings as appropriate. Monitors expenses to ensure compliance with budgets.
  • Collaborates with the Office of Development and Business Office to maintain financial system that properly recognizes gifts and monitors that such funds are used in accordance with donor-imposed restrictions.
  • Reviews the monthly reconciliation and accounting processes to ensure the Business Manager and the Development Services Manager track and reconcile all gift receipts and pledge documentation, including endowment and restricted cash contributions.
  • Responsible for the Fixed Assets (PP&E) - reviews the fixed assets accounting processes and posting entries to the general ledger.
  • Ensures applicable regulatory, tax, and other reporting requirements are met in an accurate and timely manner, including researching and staying informed with current and updated accounting, tax, and other governmental matters.
  • In conjunction with the CF&AO, develops and maintains up-to-date policies and procedures for the Business Office and is cross-trained and up-to-date on the responsibilities of Business Managers
  • Oversees the annual audit(s) work papers and nonprofit audit report preparation, including managing and maintaining related filing records.
  • Maintain complete discretion and confidentiality.

Preferred Qualifications

  • Qualifications BA or BS in Accounting or in Business with an emphasis in Accounting
  • CPA required
  • Audit experience with private schools is strongly preferred
  • Minimum of three to five (3-5) years of progressive accounting experience
  • Extensive knowledge of GAAP
  • Experience with Financial Edge and an educational institution is desirable
  • Proficient user of Microsoft Office programs, especially MS Word, Excel, and PowerPoint
  • Demonstrated facility with Google products
  • Excellent analytical and problem-solving solving skills with the ability to build efficient and effective systems.
  • Ability to work collaboratively within a diverse community
  • Excellent verbal and written communication skills
  • Ability to communicate effectively and professionally, both on an internal and external basis
  • Demonstrated attention to detail with problem-solving, strong analytical skills, and the ability to work under pressure and meet deadlines

Work Environment and Physical Requirements

This job operates in a professional office environment. Over 90% of the time is spent using standard office equipment such as computers, phones, photocopiers, filing cabinets, and copier and fax machines. The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to talk, hear and use both close and distant vision. The employee is regularly required to stand, walk, use hands to fingers and reach with hands and arms. The employee is required to sit, stoop, kneel and lift and occasionally move up to 20 pounds. The ability to work in a highly active office dealing with a variety of challenges, multiple deadlines, and a diverse array of contacts. Ability to safely and comfortably travel around a 20 acre campus.

Expected Hours of Work — Work hours typically are Monday through Friday, 8:00 a.m. to 4:30 p.m. (may include evenings and/or weekends if necessary).

Satisfactory clearance of TB test Assessment, background check (pursuant to a fingerprint scan), eligibility to legally work in the United States (sponsorship of a work visa or work visa extension not available).
