Description

THE BASICS

Job Title: Leasing Manager

Location: On-Site, Property Level

Reports To: Property Manager

Classification: Non-Exempt, Full-Time

Schedule: Varying hours within our standard business hours of Monday – Friday 8:30am – 5:30pm CST and Saturday 10:00am – 5:00pm CST (with additional flexibility for Sunday when properties are open) 

JOB SUMMARY

The Leasing Manager is a key role in developing Birchstone communities and is responsible for supervising and supporting the leasing operations and financial performance of the property, through coordinating and ensuring successful execution of all activities related to apartment rentals, move-ins, move-outs, and lease renewals. In addition to other duties, the Leasing Manager secures lease agreements, assists with property marketing activities, and represents and upholds the Birchstone brand and company values. 

ESSENTIAL DUTIES

ESSENTIAL DUTIES:

  •  Coordinate and supervise the activities of the leasing team to ensure maximum occupancy of the property and adherence to company standards and expectations, especially those relating to the customer experience and offering exceptional service.
  •  Analyze any relevant business limitations and provide identified solutions to property manager for achieving set occupancy targets.
  •  Responsible for the management and implementation of new leasing processes.
  •  Support the leasing team through the full-cycle leasing process, from first impression as a prospect through lease renewal or move-out by employing weekly meetings, setting leasing goals and deadlines, and following up with leasing team members.
  •  Complete and/or supervise the completion of move-in paperwork. Ensure that apartment inspections are thorough and occur prior to new move-in. Complete files audits for pre-approval of commission eligibility.
  •  Maintain thorough product knowledge of the property and competition as well as market conditions; complete weekly market survey report and propose any necessary adjustments to property manager.
  •  Train and develop leasing team members on market conditions, along with competitor offerings to help team understand how to best position Birchstone’s value.
  •  Regularly collaborate with the Marketing team to maximize occupancy and resident retention; Increase property visits and interest; boost online engagement and maintain/update online advertisements.
  •  Utilize established sales and marketing strategies to increase property traffic, maintain closing ratios and achieve budgeted occupancy.
  •  Promote harmony and quality job performance of leasing staff through support and effective leadership.
  •  Greet and interact with prospective residents to determine their needs and preferences; provide tours of units and the property; communicate the value and overall experience of living at the property.
  •  Provide exemplary customer service to all current, future, and previous residents. Create and develop meaningful and memorable experiences through personal relationship building.
  •  Qualify and screen prospective residents, process and verify rental applications, following Fair Housing guidelines.
  •  Secure deposits and lease agreements; communicate lease expirations and secure lease renewals.
  •  Communicate property policies to residents.
  •  Assist with move-in and move-out procedures.
  •  Assist in inspections of the property and apartments; help to ensure apartments are immaculate and ready for new residents.
  •  Assist residents with concerns, suggestions, and requests while delivering outstanding customer service; follow up on resident service requests.
  •  Assist with property marketing and resident events.
  •  Research new resident amenities, activities, and programs that add value to the property and drive revenue.
  •  Provide suggestions for improving overall efficiencies and processes.
  •  Provide support and assistance in the execution of special projects and assignments including capital improvement project management and monitoring project progress.
  •  Participate in regular meetings with Property Manager and act as a resource to property team members.
  •  Assist Property Manager and Assistant Property Manager in administrative duties and completion of daily and weekly reports; answer telephone calls and respond to online inquiries
  •  Other duties as assigned.

Requirements

EDUCATION & EXPERIENCE:

  •  High School Diploma or Equivalent is required
  •  Three (3) or more years work experience in leasing, sales, or customer service position required.
  •  Three (3) or more years work experience in the multi-family property management industry
  •  preferred.

LICENSES & CERTIFICATIONS:

 Certified Leasing Professional (CLP) certification and Fair Housing certifications preferred but not required.

KNOWLEDGE & SKILLS:

  •  Strong leadership skills and ability to lead a team effectively.
  •  Sufficient expertise in marketing and leasing.
  •  Strong business communication and interpersonal skills.
  •  Ability to work independently and in a team environment.
  •  Innovative approach to problem solving.
  •  Must possess demonstrated effective written and verbal communications skills.
  •  Excellent time management skills; ability to work well under pressure and meet deadlines.
  •  Ability to effectively manage multiple projects simultaneously and prioritize tasks.
  •  Strong scheduling, organizational, and planning skills.
  •  Exceptional attention to detail.
  •  Proficient with Microsoft Office Suite or related software; possesses general computer skills.
  •  Proficiency with or the ability to quickly learn Entrata software and/or other Property
  •  Management and supplemental software solutions.
  •  Ability to work varying hours and promptly respond to emergency situations.
  •  Bilingual ability in English and Spanish preferred, but not required

OTHER REQUIREMENTS: Valid driver’s license required

WORK ENVIRONMENT & TRAVEL

The physical environment requires the Leasing Manager to work inside a climate-controlled office space, as well as in a Birchstone community in both indoor and outdoor environments. The noise level in the environment is moderate.
