Job Summary

The Operations Coordinator plays a pivotal role in ensuring the smooth functioning of day-to-day business operations. This multifaceted position involves overseeing office management, production control/planning, and customer service to contribute to the overall efficiency and success of the organization. The ideal candidate will possess excellent organizational skills, attention to detail, and the ability to collaborate effectively across various departments.

The Operations Coordinator role is a dynamic position that requires a proactive and detail-oriented individual to manage diverse operational aspects effectively and contribute to the organization's overall success.

Responsibilities

  • Review and monitor production variances.
  • Hold planning/scheduling meetings with production support to achieve productivity and delivery metrics. 
  • Maintain Epicor ERP system with production schedule and forecast.
  • Set standards and monitor staff performance, provide performance feedback, write and conduct appraisals, recommend merit increases and promotions, and hold direct reports accountable to policies and performance throughout the year. 
  • Responsible for the motivation and development of subordinates to optimize performance and their personal and professional growth.
  • Plans, updates, and monitors manufacturing schedules, establishing delivery dates, and coordinating activity throughout the operation to support the master schedule, including tooling and material requirements.
  • Assist with monitoring materials inventory to effectively determine needs based on production schedules, execute cycle counts, and assist Finance/Accounting. 
  • Maintaining a constant awareness of capacity constraints, material arrival, customer demand changes, and quality issues; adjusting and communicating schedule changes accordingly.
  • Owns on-time delivery and creates the most effective schedule possible.
  • Create and release travelers to the production floor as required.

Office Management:

  • Maintain a well-organized and efficient office environment.
  • Supervise administrative tasks such as filing, record-keeping, and office supplies management.
  • Coordinate and schedule meetings, appointments, and travel arrangements for team members.
  • Assist the office team/shipping and receiving team as needed.

    Production Control/Planning:

  • Monitor inventory levels and liaise with suppliers to ensure timely material delivery (with the help of the purchasing department).
  • Identify and address any production bottlenecks or issues to optimize workflow.
  • Assist with processing orders/preparing jobs for the shop floor.
  • Responsible for planning and scheduling the machining equipment and making deliveries to customers.
  • Work with direct reports to support daily initiatives, align department objectives with the business strategy, engage the workforce with increased expectations, and hold the workforce accountable for results.
  • Takes responsibility for the effective planning of production and material flow throughout the shop, has supervisory responsibility for planning direct reports, which assist in planning, and can have supervisory responsibility for a designated area of the shop as appropriate. This requires interfacing with purchasing, receiving, incoming inspection, customers, and production to ensure the processing of orders to meet the due dates of customer orders. Effectively utilizes Epicor for order tracking, inventory management, and maintaining material lot integrity/traceability.

    Customer Service:

  • Serve as a point of contact for customer inquiries, concerns, and feedback to ensure prompt and satisfactory resolution of customer issues.
  • Implement and improve customer service processes to enhance overall customer satisfaction.

Communication and Coordination:

  • Facilitate communication between various departments to streamline operations.
  • Collaborate with managers and team members to ensure alignment with organizational goals.
  • Regularly update stakeholders on project timelines, production status, and customer service metrics.

    Problem Solving:

  • Proactively identify operational challenges and work towards effective solutions.
  • Address issues related to office logistics, production delays, or customer concerns promptly.
  • Implement improvements to processes and procedures for increased efficiency.

Requirements

  • Two to three years of planning and scheduling experience in a manufacturing environment is desired.
  • 2-3 years’ experience with ERP systems (Epicor ERP preferred).
  • Experience managing direct reports is preferred. 
  • Solid understanding of Planning and Scheduling methodologies (forecasts, safety stocks, replenishment strategies, inventory optimization, lead time reduction, Kanban, etc.).
  • A general understanding of Lean Management is required. 
  • Proficiency in data analytics, databases, MS Excel, MS Word, and PowerPoint.
  • Knowledge and experience of working with an ISO13485 Quality Management System.
  • Demonstrated success in managing the workforce, managing conflict, and working in a team environment.
