The Role

The Estimating Administrator works closely with the estimating team to ensure success within the department as it relates to all estimating assignments. This role assists with obtaining necessary information in order to generate and submit proposals to customers in a timely fashion as well as general administrative support.

Accountabilities:

General

  • Enter and update data in Salesforce.
  • Maintain card list and Virtual Vendor-Cloud/FTP.
  • Assist estimators in engaging subcontractors and vendors for quote participation.
  • Populate estimators’ calendars with bid specific contact information and due dates.
  • Assist in scheduling estimators for pre-bid and descope meetings.
  • Print drawings on KIP machine as needed.
  • Follow archive procedure for estimating documents.
  • Answer department phone in a professional manner.
  • Assist as backup for the main office phone and mail distribution.
  • Support admin team as needed.

Document Control

  • Download, organize and audit bid documents.
  • Maintain up-to-date documents throughout bid process.

Proposals and Bid Forms

  • Prepare bid forms and breakdowns.
  • Prepare proposal letters.
  • Publish job specific T&M labor rates and rental rates.
  • Order bid bonds and/or consents of surety as required.
  • Submit bids and all required supporting documentation.
  • Arrange for delivery of proposals requiring messenger service.

Turnover Documents

  • Assist in preparation of documents for awarded projects.

Qualifications:

Skills

  • Ability to prioritize and manage multiple tasks under time constraints and strict deadlines
  • Must be proficient in Microsoft Office, Bluebeam and Salesforce knowledge a plus
  • Strong verbal communication skills
  • Strong written communication skills with attention to accuracy, detail, and proficiency in grammar and punctuation
  • Ability to work well under extreme pressure in a fast-paced environment

Education and Experience

  • High School Diploma or equivalent required. Associate degree preferred.
  • Experience managing drawings, specifications, and other bid documents with outstanding attention to detail
  • Knowledge of construction terminology a plus
  • Computer literacy to include advanced aptitude in Microsoft Office

Physical Requirements

Physical activity not limited to climbing, bending, kneeling, crawling, walking, standing, speaking, listening and lifting < 40 lbs.
