The Clinical Coordinator assists the Manager and/or Director in providing leadership and management within the assigned department(s). May supervise nursing and non-nursing staff depending on the staff mix within the Urgent Care department.. The Clinical Coordinator is responsible and accountable for the coordination of the operational and clinical activities. Maintains optimal communication and collaboration between practice staff, physicians, external customers, and appropriate health system staff to ensure service delivery that exceeds the needs and expectations of customer bases towards service excellence. Responsibilities include but are not limited to personal management to include clinical personnel selection, orientation/training, scheduling, development/mentoring, performance appraisals, coaching and counseling, disciplinary actions, patient/resident care delivery, physician relationships, intradepartmental and interdepartmental activities, quality control and process improvement activities, regulatory compliance and fiscal control. Assists in the development of policies and procedures. In the absence of the Manager/Director, may assume responsibility and accountability for management of the assigned department(s).

Essential Job Functions

  • Provides leadership and management skills within the assigned department(s) in the accomplishment of organizational/departmental goals and objectives.
  • Performs the functions of interviewing, hiring, scheduling, establishing priorities and assigning workloads, orientation/training, performance appraisals, coaching/counseling, disciplinary up to and including discharge as coordinated with the Manager or Director and Human Resources.
  • Responsible for adhering to established human resource management policies and procedures.
  • Participates in the development of and assists with implementation of an education plan that addresses individual, departmental and/or the medical specialty needs.
  • Supervises the day-to-day activities of staff, ensuring a high level of productivity.
  • Conducts regular staff meetings and directs the orientation and training of new staff and provides on-going education to staff.
  • Creates an environment in which personnel can realize personal growth and development through active participation in departmental decisions, opportunities for professional growth and consistent application of personnel policies.
  • Plans appropriate staffing practices by maximizing the utilization of resources; forecasts and anticipates the personnel needs of department(s) with regard to fluctuations in the patient/resident workload and productivity standards; maintains staffing at agreed upon budgetary standards.
  • Assists Manager/Director/ with the development, implementation and maintenance of departmental policies, procedures and practices to ensure quality of care and a safe environment for patient/residents/staff.
  • Maintains appropriate theoretical and clinical skills with application and patient relevance of commonly utilized equipment specific to the Urgent Care department and other areas as appropriate; pharmacological application; application of laboratory values and radiologic findings with disease process or physiological status.
  • Organizes ongoing communication between all health care providers regarding aspects of patient/resident care and department(s) functions.
  • Acts to resolve conflicts in a timely manner.
  • Develops collaborative relationships with physicians to enhance quality practice and quality outcomes and promotes teamwork.
  • Functions as a liaison between non-physician staff and physicians to ensure effective service for patients.
  • Demonstrates ability to motivate staff. Works towards balancing organizational effectiveness with employee morale.
  • Maintains optimal communication and collaboration between practice staff, physicians, external customers, and appropriate health system staff to ensure service delivery that exceeds the needs and expectations of customer bases towards service excellence.
  • Responsible for understanding and adhering to the organization's Code of Conduct and for ensuring that personal actions and the actions of employees supervised, complies with the policies, regulations, and laws applicable to the organization's business.
  • Provides consultation for patients/residents care related concerns and acts as a patient/resident and staff advocate as needed.
  • Participates in both short- and long-term planning for departmental functions and budgetary processes and fiscal control.
  • Maintains competency in all organizational, departmental and outside agency environmental, employee or patient safety standards relevant to job performance and ensures staff adherence to the same.
  • Monitors and ensures compliance with quality and regulatory standards (i.e., CMS, OSHA, Magnet, etc.).
  • Prevents, minimizes and/or corrects risks to patients/residents, families, physicians, and other health care providers. Investigates unusual occurrences and follows appropriate procedure.
  • Utilizes process improvement principles to assess and improve the quality of patient/resident care.
  • Develops quality initiatives as appropriate based on patient satisfaction scores, medication error data, employee satisfaction scores, regulatory compliance, and/or other issues as identified.
  • Maintains and displays an appropriate degree of clinical expertise as appropriate.
  • Identifies and anticipates problems and safety issues and initiates appropriate corrective action.
  • Identifies needs and sets goals for own professional growth and development, meets all mandatory system/departmental educational requirements. Maintains knowledge of current clinical trends and developments as it relates to job scope.
  • Plans, organizes, implements, evaluates, and documents safe therapeutic patient centered care consisted with Billings Clinic values, goals and departmental policies and procedures.
  • Demonstrates the ability to analyze patient and task volumes. Generates appropriate access reports to forecast staffing needs in the present and in the future. Maintains staffing within agreed upon budgetary guidelines.
  • Evaluates current practices within the Urgent Care department to identify opportunities for modification that would enhance professional practice, maintain, or improve patient care while remaining fiscally sound.
  • Responsible for assessing and making recommendations/decisions regarding the quality and safety of patient/resident care. Acts as a resource to staff, other health care providers, patients/residents and family members.
  • Must develop and maintain sound, collaborative working relationships with interdisciplinary team.
  • Responsible for the supervision and coordination of a patient care area 365 days a year.
