BILLERICA PUBLIC SCHOOLS is Hiring an Anticipated Special Education Clerk Near Billerica, MA
This is a full year position and the hours are from 7:00am - 3:000pm The essential functions duties listed below are illustrations of the type of work that is performed and is not an exhaustive list of other duties performed by this position. Other duties may be assigned: - Telephone: places and receives telephone calls, takes messages, and/or routes calls to others - Greets visitors to the Special Education Department- Maintains daily attendance of office staff - Calendar management for Director, Assistant Director & Conference Room- Process special education purchase orders and invoices- Process mileage, conference and miscellaneous reimbursements- Inventory and ordering of office supplies for the department - Maintains department's budget and accounts- Work with vendors to rectify problems with materials and supply orders- Oversee online evaluation scoring accounts for special education staff- Enter responses for signed IEPs into ASPEN database system- Enter Chapter 688 referral in the states Virtual Gateway system- Process letters for IEP rejections and send to BESA- Send IEPs and consents to parents/guardians in the absence of IEP clerk- Process Independent Education Evaluation requests and contracts- Schedule staff to participate in conferences, professional development and opportunities and training- Inventory and disbursement of chrome books to staff- Assist ESY Coordinator(s) in sending invites to parents/guardians for summer program- Filing and copying of student records- Type routine correspondence and reports as requested- Assist in general administrative operations- Maintain a regular filing system and processes for correspondence- Other duties as assigned by the Director and/or Assistant DirectorQUALIFICATION REQUIREMENTS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skills, and/or abilities required. The Superintendent may waive or modify the qualification requirements.REQUIRED KNOWLEDGE, SKILLS, & ABILITIES: - Strong administrative support in office management skills.- Demonstrated knowledge of Microsoft Office applications, Google Apps for Education, ASPEN X2, Munis and Raptor, as well as other information management/databases applications and the ability to learn new software applications easily.- Ability to present information, and respond to questions from staff, families, and the general public.- Ability to multitask and prioritize workload.- Ability to express ideas clearly and concisely in written and oral communication.- Ability to perform duties with awareness of all district and DESE requirements.
Ability to handle confidential information and documents with the utmost discretion. Education and Experience: - High school diploma or equivalent required.- Associates Degree or better preferred. - Experience in a school and/or business secretarial environment preferred.
