BHHS California Properties is Hiring an Escrow Compliance Coordinator Near San Diego, CA

Pickford Escrow, one of the largest full-service escrow companies in California, is looking for an Escrow Compliance Coordinator to join our team in San Diego to help drive our thriving escrow business. The Escrow Compliance Coordinator facilitates and coordinates compliance documentation requirements for all escrow office locations and ensures proper application and adherence of internal and external escrow procedures, policies, and government regulations.
Responsibilities:
  • Communicate with escrow staff and management on policy, procedures, and regulations.
  • Ensure compliance with financial institutions, government/licensing agencies including the Department of Financial Protection and Innovation (DFPI) and Escrow Agents' Fidelity Corporation (EAFC).
  • Prepare, facilitate, and process management and staff documentation as required by government regulatory agencies.
  • Coordinate all audits between the auditor, Escrow staff & corporate staff to ensure audit requirements and timeframes are met and achieve the desired audit results.
  • Maintain and administer all DFPI and EAFC files for our corporate office.
  • Perform annual internal audits of policies, procedures, banking information & current staff rosters and review for completeness to ensure information is in order, accurate/current and in compliance with policies, procedures, and external regulations.
  • Perform administrative support for the escrow department and provide information to other departments to maintain effective and efficient operations.
  • Submit paperwork on behalf of all new hires, transfers, status changes, and terminations for escrow employees, this includes corporate personnel who work with escrow - IT, Accounting, HR, Legal, Facilities.
  • Respond to regulatory inquiries re employees, licensing, operations.
  • Conduct office procedure training and coordinate escrow-related trainings to maintain consistency and standards.
  • Create ad hoc reports and develop marketing and other materials to support the escrow business development efforts.
  • Disburse daily Month-to-Date Report to all EBM's.
  • Maintain Escrow Rosters & Office Lists and keep DFPI Summary of Personnel up to date at all times - new hires, terminations, transfers.
  • Submit annual payments, reports, and changes in branch locations to both DFPI & EAFC.
  • Ensure that our E&O, Fidelity Bond, and licenses are up to date - work with Legal and Risk Management departments.
  • Participate in state/government escrow meetings and industry-related organizations.
Perform additional responsibilities and projects as requested or assigned, including but not limited to corporate administrative support.
Required Education & Experience:
  • Associate degree or equivalent knowledge and experience.
  • A minimum of three years' administrative support experience in escrow or paralegal experience
Knowledge and Skills:
  • Superior communication skills, both verbal and written, including presentation skills.
  • Strong interpersonal and customer service skills.
  • Strong computer skills to include Microsoft Office and ability to learn other software programs as necessary.

  • Ability to prioritize and handle multiple tasks and projects concurrently under deadline pressure, with ability to occasionally work extra hours during peak times of the month.

  • Effective analytical and problem-solving skills.
  • Flexibility to adapt to different work environments and procedures in different office locations.
Other (licenses, certifications, schedule flexibility/OT, travel, etc.):
  • Position will require approval from the Department of Financial Protection and Innovation (DFPI) and EAFC (Escrow Agents Fidelity Corporation).
  • Ability to work extra hours during peak times of the month.
  • Ability to travel between the Corporate Office and Escrow Branch Offices in the different Counties.
  • Must possess and maintain valid driver's license and vehicle insurance.
Wage:
$34 - $39.50 per hour, actual wage is based upon education and experience.
