BGIS Careers is Hiring a Fleet Administrator Near Pompano Beach, FL

BGIS is currently seeking a Fleet Administrator to join the team in Pompano Beach, FL.

RESPONSIBILITIES

Inventory Management

  • Continuous updates to fleet vehicle and driver database.
  •  Monitor HR reporting for New Hires and Terminations.
  • Audit fleet database for discrepancies and proactively follow up with operations leads.
  • Prepare and submit forms to Fleet Management company.
  • Support timely disposal of used vehicles.

Reporting

  • Ad hoc inventory reporting as requested by account teams.
  • Report development and analysis
  • Manipulation of data to display it in a digestible format
  •  Provide actionable insights to Operations teams to support database accuracy

Compliance

  • Monitor and enforce driver compliance for the following programs by engaging both drivers and management in the resolution process:
  • Preventative Vehicle Maintenance
  • Licensing
  • Fuel Purchase Parameters
  • Toll Road Usage
  • Driver Training
  • Motor Vehicle Records
  • Taxable Benefit Mileage reporting
  • Telematics Device Activation
  • Violation Payments

Documentation

  • Ongoing updates to fleet forms further to new accounts and business units.
  • Distribution of updated forms to Operations teams.
  • Ownership of Fleet contact listing.
  • Distribution of vehicle related materials to drivers.

Maintenance Management

  • Monitor and escalate vehicle maintenance incidents.
  • Vehicle maintenance approvals – determine appropriate course of action based on vehicle maintenance history, vehicle financial data & vehicle replacement status.
  • Rental vehicle approvals.

Safety

  • Drive a culture of safety in all driver interactions.
  • Supply drivers with guidance and information to remain safe in the operation of their vehicle

Independent Work

  • Assignment of projects where the individual will be responsible for the full scope of or a segment of the project
  • Assignment of tasks where the individual will be required to identify the scope of impact and ensure all stakeholders either submit or receive the necessary information
  • Fill in for Senior Fleet Manager to provide necessary support for vacations, business meetings and business travel

Interactions

  • Fleet administrator will be required to interact with the following categories of individuals:
  • Vendors – Fleet Management Company, Vehicle Manufactures, & Vehicle Equipment Outfitters
  • Client business group leaders 
  • Regional operations managers 
  • Facility Managers 
  • Technicians 

REQUIRED EDUCATION, KNOWLEDGE and ABILITIES

  • Fleet Management Experience - 5 years minimum
  • Knowledge of auto industry incentive programs & production scheduling
  • Mid-level Proficiency with Excel, use of formulas and pivot tables
  • Strong Communication Skills.
  • Bilingual (French) an asset.
