Chief Administrative Officer
Classification: Full-time, exempt
Reports to: Chief Executive Officer
Salary: 110-130 K Base 40-60% Variable
Location: Bozeman, MT
Do you love shaping organizations, shepherding teams, and improving healthcare? We seek a proven leader to join our executive team as a Chief Administrative Officer (CAO). The transition from a small start-up to a scaling enterprise is an exciting and challenging chasm to cross. In many ways, we feel like a start-up, and the strain is apparent across the organization. We need an experienced leader and manager with solid tactical and strategic skills, abilities, and most importantly, mindset to support vital administrative functions and people as our company hits puberty.
About you and the role
The CAO for us is the third executive team member, joining our founders, Ben and Loren, who work in their roles as CEO and COO, respectively. You will fit snugly in their natural blind spots, and they in yours filling out the executive team. Critically you will support, lead and grow the administrative department. You will be responsible for the performance of the following teams.
● Human resources (Current team of 2-3 growth to 6-8 in next 18 months)
● Business Development (Current team of 2-3 growth to 6-8 in next 18 months)
● Finance (Current team 3, growth to 4-5 in next 18 months)
● Information Technology (Current team 1 growth to 3 in next 18 months)
● Marketing (Current team - it’s complicated… Growth to 2–4 in next 18 months.)
We recognize that you may not have experience in all disciplines. We need you to have a verifiable track record of tactical (the doing of a thing) and strategic (the visions of a thing) in at least two of the five disciplines. You must have an inquisitive mind, be naturally curious, and be a proven lifelong learner. This is vital as you will develop deep tactical and strategic knowledge of administrative functions not in your background within six months of hire.
What you will do
● Lead, manage and be accountable (LMA) for the administrative department teams.
○ Human resources, Business Development, Finance, Marketing, and Information
Technology.
● Strategic
○ Advise, design, create and participate in the organization, department, and team
level strategies to achieve the 10-year target of 40 million patient encounters and
ranking as the number one company to work for in America by 2033
● Tactical
○ Directly and indirectly, support the day-to-day operations of teams in the
administrative department. Able to function as a backup in the event a team
leader is unavailable.
● Budget
○ Develop, oversee and manage a departmental budget in alignment with the
annual operating plan.
● Regulatory compliance
○ Establish a deep understanding and relationship with all relevant regulations
within the department and ensure global compliance.
In the first three months, you will
● Assess, prioritize, hire and mentor the top three open seats in the department
● Organize, coach, and manage the department's leadership team
● Complete the administrative department practices and procedures manual
● Build a strong relationship with the CEO and COO
● Assist the organization thru next generation structure
In the first six months, you will
● Implement best practices in the base plus variable wage model
● Complete Certified B corporation application and review process
● Hire and mentor top six open positions in the department
● Assist transition to four-day work week
● Prepare the company for potential capital investment.
Top Candidates
● 15 years in healthcare-related leadership and management
● 10 in the start-up/scaling business growth cycles
● 5 years of experience with at least two of the five disciplines of administration at BPM
● Track record of consistent leadership training and personal development
● Proven ability to balance strategic and tactical responsibilities

Base plus variable pay structure

This determines base compensation. You must consistently demonstrate you are the right person and in the right seat.
2. Company variables - We’ve got a plan. We know where we want to be in 10 years, this year, and the next 90 days. We believe in paying people primarily based on their ability to perform the work necessary to achieve our goals. As a General Manager, you exercise influence in setting strategic goals and responsibility for achieving them. Half of your possible variable pay is based on the company reaching at least 80% of the quarterly company goals.
3. Department variables - You have an essential seat at the company leadership table and are expected to assist in setting the path to achieve our hopes and dreams. As department GM, it’s your table regarding departmental goals. This means that half of your possible variable pay depends on your ability to set and execute departmental goals, which are related to the company vision. You are solely responsible for achieving at least 80% of your departmental goals to earn this part of the variable pay.
