Position Summary & Duties Responsible

$19.57/Hour (Upon completion of probationary period)

POSITION SUMMARY

Under general supervision perform duties involved with the intake and release of inmates into the Metropolitan Detention Center system; maintain security of records and personal property associated with these processes. Perform a variety of administrative duties such as answering telephones, typing memoranda and other documents, data entry, cash handling, and filing as needed.

DUTIES AND RESPONSIBILITIES SUMMARY

  1. Review, interpret and process legal documents, court orders and arrest documents using applicable records management systems.
  2. Collect, prepare and review data for statistical purposes and report to local, state and federal law enforcement agencies.
  3. With high degree of accuracy, enter, cancel, and modify reports using applicable electronic record management systems.
  4. Process and file all incoming documentation and maintain records according to established rules and regulations.
  5. Receive, account for and release money, personal property and clothing submitted to MDC at booking; check property for safety hazards and secure items.
  6. Maintain accurate records and logs of all personal property; retrieve and gather personal property for inmates being released.
  7. Investigate and research missing or lost personal property.
  8. Maintain security of work areas by limiting access to authorized personnel only; maintain and control access to files.
  9. Provide exceptional customer service to outside agencies, the public, coworkers, etc. by providing appropriate information according to policy and procedures.
  10. Provide typing/word processing assistance for the department; answer telephone, transfer calls and take messages when necessary.
  11. Maintain work area in a clean and orderly manner.

Minimum Qualifications

  1. High school diploma or GED, plus four (4) years office/clerical, inventory control and/or records management experience; OR any related combination of education from an accredited college or university or related experience totaling four (4) years in office/clerical, inventory control, record management or related field. Related education and experience may substitute for the required education and experience and may be interchangeable on a year for year basis.
  2. Must be able to work shift work, overtime and maintain regular attendance.
  3. Skilled in computer use for word processing, data entry and retrieval.
  4. Knowledge of record management, information processing letter and report writing, and cash handling techniques.
  5. Knowledge of principles and practices of property acquisition, storage and release.
  6. Ability to communicate clearly and concisely in both oral and written English.
  7. Knowledge of standard office procedures and practices.
  8. Ability to operate standard office machines including typewriter, computer, copier, fax machine, calculator and multi-line telephone system.
  9. Ability to interact effectively and professionally with the public, supervisor, co-workers and all those contacted in the course of work.
  10. Ability to handle multiple priorities and tasks in an automated environment.
  11. Knowledge of county policies and procedures, regulations, and state statutes relating to material management.
  12. Ability to work independently in the absence of supervision.

ADDITIONAL REQUIREMENTS

  1. Employee must successfully complete the post-offer employment medical examination and a background investigation.
  2. Employee must comply with Bernalillo County safety policy requirements.

WORKING CONDITIONS

All essential duties are performed indoors.

  1. Duties are performed in a temperature-controlled environment.
  2. Duties are performed on an even surface, which may be carpeted or tiled. Working surface is typically dry.
  3. Worker often works alone both with and without direction from supervisor or wait a team of individuals.
  4. Worker is subject to potential exposure to hostile environment.

EQUIPMENT, TOOLS AND MATERIALS

  1. Equipment typically used in the performance of office duties includes telephone, computer terminal, computer printer, computer keyboard, typewriter, photocopy machine, fax machine calculator, microfilm equipment and postal equipment.
  2. Materials and products handled in the course of performing essential duties include files, forms, reports, various other paperwork and a wide variety of basic office supplies. Handles personal property of inmates.
