BERGEN COMM COLLEGE is Hiring a Senior Secretary - Dental Hygiene Near Paramus, NJ

 
 

This position provides administrative support for the Dental Hygiene Academic Department Chair, faculties, and students including the Dental Hygiene clinic in accordance with accreditation standards. 

POSITION SUMMARY

Responsibilities include but are not limited to:

  • Administrative support for the Dental Hygiene Academic Department Chair, faculties, students, and the Dental Hygiene clinic. 
  • Prepare purchase requisitions and orders for the dental hygiene program, including equipment, supplies, service
  • Assist with preparation of accreditation documents/reports/site visits
  • Provide program information to those interested in the Dental Hygiene program
  • Maintain the share drive for program advisory committees (including members, meeting invitations)
  • Demonstrate a knowledge of the dental hygiene admissions process
  • Prepare and send faculty schedules each semester
  • Management of adjunct faculty (ID, global address list, email address)
  • Manage time and attendance for all Dental Hygiene faculties/staff
  • Coordinate with Buildings and Grounds for work orders related to the dental hygiene clinic, labs, and offices
  • Manage high volume of phone calls related to the dental hygiene department and clinic, screen and route calls, assist callers with inquiries
  • Update and maintain documents for clinical compliance for students and faculties
  • Prepare materials for Freshman Orientation and provide administrative support
  • Collaborate and interact with staff, faculty and other departments across the College
  • Accept supply deliveries for designated program laboratories 
  • Performs additional tasks as assigned

SPECIAL SKILLS AND QUALIFICATIONS

Education – High school diploma is required – postsecondary vocational training in office administration or college degree is preferred. 

  • Must have excellent computer skills including proficiency in MS Office (MS Word, Excel, Powerpoint) and the Google Suite. 
  • Willingness to learn software programs utilized by the department (Eaglesoft, Typhon)
  • Must possess the ability to work with an administrative database (Colleage)
  • Knowledge of accreditation or willingness to learn accreditation processes
  • Demonstrates strong skills in building customer and student-centered relationships
  • Must demonstrate a strong level of organizational, interpersonal, written and verbal communication skills
  • Serve as a Liaison for the programs and maintain confidentiality of all records and issues handled in the assigned areas
  • Ability to work flexible hours

SALARY AND BENEFITS

  • Annual Salary ranges from $41,000-$43,000
  • NJ Educators Health Plan with free Vision and Dental. NJ State Pension plan.
  • 13 vacation days, 15 sick days, 4 personal days, 2 floating holidays, all designated holidays and 5 non- designated holidays a year.
