JOB OVERVIEW

Service Administrators play a critical role in ensuring the smooth administrative functioning of the service department. Their organization, attention to detail, and customer service skills contribute to the overall success and efficiency of the dealership's service operations. These professionals organize administrative tasks, contributing to the overall effectiveness of the service department.

KEY RESPONSIBILITIES

  • Greet Customers: Welcome customers with a warm and friendly greeting as they enter the showroom. Create a positive and inviting atmosphere.
  • Customer Assistance: Assist customers by answering initial inquiries and providing general information about the dealership's offerings, including vehicle models, features, and current promotions.
  • Customer Direction: Direct customers to the appropriate sales or service personnel based on their needs. Ensure that customers are connected with the right team members efficiently
  • Appointment Scheduling: Manage and coordinate service appointments for customers, ensuring that scheduling aligns with technician availability and service department capacity.
  • Customer Communication: Serve as the primary point of contact for customers, providing updates on service progress, confirming appointments, and addressing inquiries and concerns in a professional and timely manner.
  • Product Knowledge: Maintain a basic understanding of Genesis vehicle models, features, and benefits to address customer inquiries accurately.
  • Promotion Awareness: Stay informed about current Genesis promotions, discounts, and special offers to communicate these to customers effectively.
  • Customer Feedback: Collect and document customer feedback, comments, and complaints, forwarding relevant information to appropriate personnel for resolution and improvement.
  • Documentation: Maintain accurate records of service orders, repair details, customer information, and service histories using dealership management software and other tools.
  • Billing and Invoicing: Prepare and process invoices for completed services, ensuring accuracy and compliance with established pricing and billing protocols. Handle customer payments and financial transactions.
  • Service Reports: Generate and analyze service reports, including key performance indicators (KPIs), to provide insights into service department performance and assist in decision-making.
  • Data Entry: Accurately input customer and vehicle information into dealership databases and maintain digital and physical service records.
  • Filing and Organization: Maintain an organized filing system for service records, invoices, and other paperwork, ensuring easy retrieval and compliance with record-keeping regulations.
  • Showroom Maintenance: Ensure that the showroom is clean, organized, and presentable at all times. Report any maintenance or cleanliness issues to the appropriate personnel.
  • Safety Compliance: Adhere to safety regulations and dealership policies to maintain a safe and secure environment for customers and staff.

QUALIFICATIONS

  • Education: A high school diploma or equivalent is typically required. Relevant administrative or office management training is a plus.
  • Organizational Skills: Strong organizational and time management skills are essential for effectively managing appointments, records, and administrative tasks.
  • Communication: Excellent verbal and written communication skills to interact professionally with customers, colleagues, and dealership staff.
  • Computer Proficiency: Using dealership management software, Microsoft Office suite, and other relevant software tools for data entry and record-keeping.
  • Attention to Detail: A keen eye for detail is crucial when handling records, invoices, and customer information.
  • Customer Service Orientation: A customer-focused mindset and the ability to provide exceptional service in interactions with customers.
  • Problem-Solving: The ability to address customer concerns and administrative issues efficiently and effectively efficiently and effectively.
