Ben Bridge Jeweler's corporate office in Seattle is seeking a front desk administrative assistant to join our team.

Overview of Position

This position is responsible for welcoming and directing visitors, vendors, customers, and associates when they enter the Ben Bridge Jeweler Corporate Office, including answering the phone, emails and assist with customer and vendor questions. In addition to the front desk responsibilities, they will provide administrative assistant support to the Regional Directors (“RD”) in Sales. There are no supervisory responsibilities. The position reports directly to the Executive Assistant to the CEO.

Reliability is a must. This is full-time regular position with a 40-hour per week schedule in the corporate office. It is not eligible for a hybrid work arrangement. Work hours are 8am to 5pm and very rarely will there be required travel.

Primary Front Desk Responsibilities

  • Welcome and direct visitors, vendors, customers, and associates when they arrive at the corporate office
  • Ensure appropriate security precautions are observed at all times in the reception area and the front office.
  • Keep the reception and front office areas tidy
  • Manage meeting rooms in front desk area, including resolution of usage conflicts
  • Answer, screen, and forward phone calls
  • Sort incoming mail and prepare outgoing mail to be picked up by the shipping team
  • Update and maintain Store Associate, Corporate Office and Store Address List
  • Update and maintain store hours for each location
  • Perform administrative tasks for associate recognition programs
  • File documents and keep them well organized
  • Perform other clerical duties deemed necessary by supervisor

Primary Administrative Assistant Support for Regional Director (3)

  • Assist in the preparation of regularly scheduled reports
  • Act as the point of contact for internal and external customers, if requested
  • Perform other clerical duties deemed necessary by supervisor and/or RD Team
  • Manage and direct calls
  • Organize and schedule meetings and take minutes, if requested
  • Submit and reconcile expense reports
  • Coordinate with executive assistants, when necessary
  • Book travel arrangements, including flights, cars, hotel, and restaurant reservations, if requested

Education and Experience

  • High school diploma or equivalent education required
  • 2 plus years of administrative assistant experience
  • Knowledge of appropriate software including: Microsoft Word, Excel, and Outlook, Microsoft PowerPoint and Adobe Acrobat

Range: $21.63 - $25.96 per hour

Fluctuations in the job market may necessitate adjustments to pay ranges. Final pay determinations will depend on various factors, including, but not limited to experience levels, knowledge, skills, and abilities.
