As the Business Operations & Finance Manager, you’ll play a critical role in helping Belmont reach its aspirational vision of becoming the leading Christ-centered university in the world.

This position is responsible for managing all financial activities related to the Office of Strategic Venues & Event Services. Activities include overseeing operating budgets for three primary areas housed within the division: Event Services, Curb Event Center and Fisher Center for the Performing Arts. This position is responsible for overseeing invoices, collecting revenue (AR), processing and monitoring expense payments (AP), and performing profit and loss statements for events. In addition, in partnership with the Vice President for Strategic Venues & Events, the Business Operations & Finance Manager may be asked to envision future possibilities and strategic opportunities for the Office of Strategic Venues & Event Services. As the division grows, this position’s leadership and budgetary oversight may grow as well, including but not limited to the oversight of student workers and graduate assistants, providing room for upward mobility.

The Office of Strategic Venues and Event Services coordinates events in numerous event spaces across campus. Such events include but are not limited to concerts, theatrical performances, ballets, athletic events, conferences, speakers, luncheons, and meetings. Event Services serves as a one-stop-shop where event planners receive a single invoice which includes the costs for labor, equipment, catering, space rental, service charges and/or other fees. The Business Operations & Finance Manager is responsible for the oversight of this process.

  • Develop and monitor internal financial practices for the Office of Strategic Venues and Event Services.
  • Work closely with the Associate Vice President for Strategic Venues and Events to support the financial health and growth of the division.
  • Work collaboratively with the Executive Director of Fisher Center for the Performing Arts and Senior Director of Curb Event Center & Strategic Events to support the health and growth of the venues.
  • Support the division in driving and examining revenue.
  • Manage and reconcile several operating and event budgets.
  • Manage AR, AP, and financial reports for University events.
  • Utilize Quickbooks accounting software to prepare event invoices, send invoices to customers in a timely manner, and ensure payments are received.
  • Closely monitor outstanding AR.
  • Work closely with University Accounting department to process payments and deposit in Banner (internal fund transfers, checks, credit cards).
  • Become proficient in software programs including QuickBooks, Banner (University accounting), Shiftboard (staff scheduling), EMS (event management), Jaeggar (purchasing system), Jotform (credit card payments).
  • Manage payroll processing for part-time and event staff and ensure employees are paid in a timely manner.
  • Manage the SmartStart on-boarding software for hiring new staff.
  • Train event managers and operations staff on estimating events, staff scheduling procedures, and new employee on-boarding protocol.
  • Implement cost accounting methods for events and create accurate profit and loss statements.
  • Develop relationships with external vendors that provide critical support services to the department.
  • Develop positive and collaborative relationships with internal stakeholders.
  • Process accounts payable invoices for event related expenses and departmental operating expenses.
  • Hire and supervise student workers that assist with financial tasks.
  • Assist Event Management team, Event Scheduling team, Curb Event Center team, and Fisher Center for the Performing Arts team as needed.
  • Other divisional duties within the realm of finance, accounting, budgeting, team leadership, reporting and the like, as assigned.

Required Qualifications:

Required Education:

Bachelor’s Degree in Business Administration, Finance, Accounting, Management, or another applicable field. MBA preferred.

Required Experience:

3-5 years’ experience in business operations, finance, accounting, management or another applicable field preferred. Progressive relevant responsibility in an academic or office environment preferred.
