Bello Machre is Hiring an Office Assistant - Maintenance/Facilities Department Near Glen Burnie, MD

Job Description

At Bello Machre, we're looking for an Office Assistant to provide clerical and administrative support to our Maintenance team. Our Maintenance Department is responsible for the oversight and cares of all Bello Machre properties and fleet of vehicles. 

This is a full-time position, Monday through Friday, 9:00am until 5:00pm, with some opportunity for remote work.

This position requires a high school diploma or GED equivalent. A minimum of 1 year of administrative experience is preferred. Most importantly, the right candidate will be a skilled communicator who is energetic, friendly, and helpful.

Qualifications

  • Must be at least 18 years old
  • High school diploma or GED required
  • Must be able to communicate effectively with supervisor, peers, individuals, and families
  • Friendly phone etiquette
  • Strong time management skills and ability to prioritize work
  • Must be able to deal with confidential information appropriately

Responsibilities

  • Fleet Management: 
    • Assist with updating, tracking, and filing documents related to vehicle registrations, emissions, and vehicle log
    • Assist with keeping stellar documentation of vehicle service requests, invoices, and any recall notices
    • Submitting accident reports to insurance provider and be the primary point of contact for any insurance questions or claims
    • Work with outside vendors on vehicle repairs, appraisals, and tracking all appointments.
  • Administrative Support: 
    • Scan and file all contractor invoices into a central filing system
    • Track, scan, and file all receipts for materials purchased in Maintenance Department
    • Assist with closing out ticket requests and work orders in an electronic system
    • Maintain files for contractual services 
  • Maintains clean and organized reception area and common areas to include distributing boxes, packages, and other mail
