Bello Machre is Hiring a Front Desk - Admin Assistant Near Glen Burnie, MD

Job Description

At Bello Machre, our Front Desk Administrative Assistant provides all callers and visitors with a warm and welcoming experience. This role is a member of the Human Resources Department bt provides administrative support to all other departments, as needed.

The best-qualified candidate will be a skilled communicator who is energetic, friendly, and helpful. Candidates must be able to multi-task and promote a welcoming environment. 

Responsibilities

  • Answer telephone promptly and professionally; assist callers by providing requested information or by transferring calls upon request; contact employees directly as needed.
  • Greet visitors in a friendly manner, providing a positive experience, directing visitors to appropriate staff members or other resources as appropriate.
  • Check email daily and respond to emails within 24 hours or as appropriate.
  • Check voicemail messages for Bello Machre’s main line; update voicemail recording for Bello Machre’s main line when appropriate; check fax machine frequently and forward to appropriate personnel. 
  • Stamp mail daily and prepare for mailing; receive returned mail and secure new address; update HRMS when new address is received.
  • Maintain clean and organized reception area and common areas; distribute boxes, packages, and other mail; replenish marketing materials in the reception area.
  • Schedule Conference Room reservations in Outlook shared calendar.
  • Distribute accounts payable checks.
  • Order office supplies; maintain and organize supply of basic materials in common storage area and refrigerators.
  • Maintain postage meter and other office equipment; place service calls and supply orders as needed; communicate any problems with equipment to the Office Manager.
  • Provide information about the employment process upon request; provide application information to interested parties; assist with maintaining inactive applications.
  • Complete verifications of employment in a timely way.
  • Produce monthly staff reports and distribute appropriately.
  • Other duties as assigned.
  • Qualifications
  • Must be at least 18 years old
  • High school diploma or GED required
  • Must be able to communicate effectively with supervisor, peers, individuals, and families
  • Friendly phone etiquette
  • Strong time management skills and ability to prioritize work
  • Must be able to deal with confidential information appropriately
